About the Role

Claremont Clinic is seeking two experienced evening doctors receptionists to join our dynamic practice team. As a key member of our team, you will play a vital role in ensuring the smooth operation of our reception desk, providing exceptional customer service, and acting as a liaison between patients, clinicians, and other practice team members.

Key Responsibilities

  • Manage the reception desk, handling patient queries, and providing information on practice services.
  • Answer telephone calls, redirecting or dealing with enquiries as necessary.
  • Handle face-to-face general enquiries, referring where necessary.
  • Make new and follow-up appointments, including booking language line services.
  • Be responsible for the call and recall of patient lists as instructed by the practice manager.
  • Deal with messages from patients, clinicians, or external bodies, taking appropriate action when required.
  • Generate electronic and online repeat prescription requests and allocate as instructed.
  • Record requests for home visits and ensure they are recorded and passed onto the duty doctor on call.
  • Register new patients, following practice policy, including enabling secure online access to patients' medical records.
  • Manage the GP links process, including registrations, amendments, rejections, deductions, and other tasks required.
  • Open mail and distribute as appropriate, leaving private, confidential, and personal mail unopened in the Practice Manager's tray.
  • Maintain the administration of cytology, ensuring that childhood immunization targets are kept up to date.
  • Scan hospital reports and letters, ensuring that the scanning of patients' correspondence is kept up to date at all times.
  • Carry out patients' and GP Registrar surveys.
  • Complete and enter on computer appropriate GMS3 (Temporary Services) forms, renewing expired forms as necessary.
  • Maintain the computer database, including patients' PDS records.
  • Ensure that the External and Internal EMIS web email account is viewed on a daily basis and the Workflow (WF) tasks are completed appropriately.
  • Take responsibility for the daily incoming electronic document management and the online consultation forms.
  • Offer all services to patients, including extended opening hours and Community Pharmacy Consultation Services (CPCS), and any future new initiatives.
  • Enter appropriate read codes as instructed by the practice, including admin coding and coding for QOF/SNS.
  • Ensure that there is enough supply of stationery in all consulting rooms.
  • Ensure that all clinic attendance appointments are confirmed prior to the appointment date, as per the allocation of tasks.
  • Assist in the administration of the patient e-referral system and manage the day-to-day clinicians' worklists.
  • Train staff to ensure that the diabetic recall for clinics is kept up to date, including searches and letters/blood tests sent to patients as instructed.
  • Ensure that the telephones are turned on and switched over to the out-of-hours service as appropriate.
  • Leave the reception area tidy and ready for incoming colleagues, using the EMIS web function to communicate any outstanding queries to colleagues.
  • Staff working in the evening will ensure that the premises are fully vacated by patients via checking public areas, ensuring that the premises are securely locked, including windows, and turning on the security system if the last person to leave the premises.
  • Undertake any other duties as instructed by management.

Person Specification

Experience

  • Experience of working in a healthcare setting.
  • Desirable: Experience of working in a GP Practice - at least 1 year.

Qualifications

  • Good GCSE Grades A to C in English and Maths.
  • Excellent IT Skills.
  • Desirable: Experience using the clinical system EMISweb.
