About the Role

We are seeking an experienced Finance Assistant to join our team at Olivia Ruella Limited. As a key member of our finance department, you will play a crucial role in supporting our Finance Manager in maintaining the smooth operation of our financial processes.

Key Responsibilities
  • Document Control: Ensure the efficient workflow of all documentation through the purchase ledger process, adhering to our company's procedures.
  • Invoice Management: Receive and distribute purchase invoices for authorisation, and input them into Sage 50 Accounts with meticulous attention to detail, ensuring accurate treatment of VAT and CIS tax.
  • Supplier Reconciliation: Conduct monthly supplier statement reconciliations, investigating any variances identified.
  • Financial Control: Maintain a high standard of control and e-filing for all financial documents.
  • Pre-payment Card Management: Input invoices and reconcile statements weekly for our company's pre-payment card.
  • Creditor Management: Manage the Accounts Mailbox and resolve any creditor queries via email or telephone.
  • Aged Creditor Report: Regularly review and chase any missing invoices or receipts.
  • Subcontractor Management: Process weekly subcontractor runs and upload them to Sage, maintain subcontractor records, and verify new subcontractors on HMRC.
  • HMRC Compliance: Submit monthly HMRC CIS Returns.
  • Project Cost Reporting: Distribute monthly project cost reports from Sage to Contract Managers.
  • Nominal Code Auditing: Regularly audit nominal codes to ensure correct allocation has been applied.
  • Asset Management: Maintain the Asset Register and Depreciation Accounts.
  • Support to Finance Manager: Assist the Finance Manager as required.
Requirements
  • Accuracy and Attention to Detail: High level of accuracy and attention to detail.
  • CIS and Domestic Reverse Charge Knowledge: Working knowledge of CIS and Domestic Reverse Charge.
  • Sage 50 Experience: Experience with Sage 50.
  • Communication Skills: Confident communicator with good Microsoft Excel and general IT skills.
  • Confidentiality: Ability to maintain confidentiality.
  • Sense of Humour: A sense of humour is a plus.
