We are collaborating with our client to find a qualified and experienced Administrative Specialist / Lead Administrator who will oversee the daily operations and administrative requirements of the department.
This is a crucial role that supports various operational functions.As the Administrative Specialist, you will manage HR and financial administrative tasks, facilitate internal and external communications, and perform personal assistant duties.
This is a full-time permanent role operating Monday to Friday.This position will be office-based for four days a week, with one day allocated for remote work.
Key Responsibilities:
- As the Administrative Specialist / Lead Administrator, you will handle HR and financial administrative tasks, internal and external communications, and personal assistant responsibilities.
- Serve as the primary point of contact within the organization, addressing, resolving, and delegating or escalating inquiries as necessary.
- Manage complex scheduling for meetings and assist with related administrative tasks, such as preparing agendas and documentation.
- Engage with senior management and high-profile contacts within the organization, maintaining excellent professional relationships.
- Provide personal assistant support to the senior management team as needed.
- Assist in organizing events, including venue booking, sending invitations, arranging refreshments, liaising with speakers, managing bookings, coordinating colleagues, advertising, collecting feedback, and reporting outcomes.
- Collaborate with other departments to gather data, ensure accuracy, manipulate, analyze, and interpret data reports, and prepare management information reports.
- Perform HR administrative tasks such as tracking employee absences, organizing onboarding processes, and managing offboarding procedures.
- Support internal and external communications through e-marketing, intranet updates, and website content management.
- Responsible for generating purchase orders, processing payments, authorizing expenditures, and addressing basic financial inquiries.
- Assist in the management, development, and implementation of operational processes and systems.
- Support the Operations Manager with projects as required.
- Provide general administrative support as needed by the department.
Required Skills and Experience:
- Proven experience in an administrative role, such as Administrator, Administrative Specialist, Lead Administrator, or Executive Assistant is essential.
- Ability to thrive in a fast-paced and collaborative team environment.
- Excellent verbal and written communication skills are essential.
- Strong IT proficiency, particularly as a confident user of MS Excel.
- Well-organized, confident, and engaging demeanor.
- Ability to manage confidential information in compliance with data protection regulations.
- Natural problem-solving abilities and a proactive approach to offering solutions.
- High level of accuracy and attention to detail is essential.
- Experience in the Higher Education or Further Education sector is advantageous.
