Position Overview

The role involves providing comprehensive administrative and clerical assistance to the Estates, Facilities, and PFI Divisional Management Team.

Under the guidance of the Office Manager, the Administrative Coordinator will deliver support services across various functions within the Estates, Facilities, and PFI Division. This includes, but is not limited to, administrative tasks, operational support, payroll activities, document reproduction, helpline management, contract performance oversight, procurement, and financial and human resources administration.

Key Responsibilities

As a member of the Administrative Team, you will be responsible for delivering efficient administrative and clerical services within this dynamic Directorate. The following are your primary responsibilities:

  1. Manage the diaries of the Estates, Facilities, and PFI Divisional Management Team and other senior personnel as necessary.
  2. Organize meetings for management, including preparing agendas, compiling necessary documents, taking minutes, and distributing notes to participants while tracking action items.
  3. Participate in mutual cover arrangements with colleagues to ensure the Divisional Management Office is adequately staffed during core hours.
  4. Collaborate with the Office Manager to oversee personal and professional development initiatives.
  5. Assist in the recruitment process by managing documentation from job postings to appointments, including creating induction materials and advising staff on employment terms.
  6. Update training materials as required.
  7. Support the Management Team in administering any future Management of Change (MoC) Due Diligence Processes as needed.
  8. Ensure all recruitment-related correspondence, including police screening forms and references, is maintained and processed appropriately.
  9. Keep personal files organized and current as required.
  10. Maintain up-to-date records of sickness absence, staffing levels, and payroll information, forwarding this data to relevant parties as necessary.
  11. Manage spreadsheets and databases within the department, providing reports and statistics as requested.
  12. Prepare various documents, including correspondence, reports, forms, minutes, schedules, and employment contracts.
  13. Respond promptly to all telephone inquiries and routine matters on a daily basis.
  14. Coordinate study leave and travel arrangements for training and seminar events.
  15. Manage call-off orders and contracts as necessary.
  16. Record and coordinate responses related to any divisional complaints.
  17. Prioritize tasks effectively and adapt to changing circumstances and unexpected events.

Qualifications

Essential

  • Typing/word processing qualification equivalent to RSA2 or NVQ 2.
  • GCSE Grade C or equivalent in Mathematics and English.

Desirable

  • Familiarity with NHS procedures.

Experience

Essential

  • Minimum of two years of experience in an office environment.
  • Proven experience working collaboratively within a team.
  • Experience in minute taking.

Desirable

  • Previous experience in an NHS setting.

Skills

Essential

  • Proficiency in Microsoft Word, Excel, and Outlook.

Desirable

  • Knowledge of Trust systems such as Datix, Captor, and EASY.
  • Experience in audio typing.
