Orbis Group is dedicated to creating a supportive and efficient work environment. We are in search of a committed HR Assistant to join our team, playing a crucial role in employee relations, compliance, and administrative support to uphold our high standards and fulfill our mission.

Role Purpose
The primary objective of this role is to assist managers and staff with all employee relations matters while ensuring adherence to legal and regulatory standards in a supportive capacity. This position is office-based with the flexibility of one day per week working remotely.

Key Responsibilities

Employee Relations
  • Assist the HR team with grievances, disciplinary actions, wellbeing, and absence management.
  • Organize meetings, including sending invitations and preparing documentation.
  • Ensure the accuracy and organization of paperwork for formal meetings and tribunals.

HR Documentation and Administration
  • Maintain and update employee records within the HR Information System (HRIS).
  • Process contractual changes and issue employment contracts.
  • Manage DBS renewals and oversee Visa/Sponsorship responsibilities.
  • Handle all documentation related to the employee lifecycle.
  • Generate reports and compile survey results for HR Business Partners and the Chief People Officer.
  • Provide administrative support for HR events and manage email communications.

HR Support
  • Address general inquiries from managers and employees.
  • Assist with the archiving of personnel records and issuing references.
  • Respond to calls at the HR Support Centre, offering first-line advice.

Project Involvement
  • Support corporate projects and company initiatives as required.

General Responsibilities
  • Uphold confidentiality and comply with the Data Protection Act.
  • Adhere to Health, Safety, and Environmental Policies.
  • Promote equality and diversity within the organization.
  • Participate in new employee inductions and conduct management training sessions.
  • Collaborate with a supportive coaching approach.
  • Manage a demanding workload effectively while demonstrating excellent time management and prioritization skills.

Qualifications and Skills
  • Preferred knowledge in the social care sector, employment law, and policy development.
  • Essential understanding of employment contracts and GDPR regulations.
  • Desirable experience with safeguarding and DBS processes.
  • Proficiency in IT and experience with Visa and Sponsorship matters.
  • Strong verbal and written communication skills.

Educational Background
  • CIPD Level 3 or actively pursuing it.
  • Good general educational background.
  • Willingness to work towards CIPD Level 5.

Training Requirements
  • Completion of Care Shield for Mandatory, Service Specific & CPD Courses.
