Facilities Assistant Opportunity

We are seeking a highly organized and proactive Facilities Assistant to join our Facilities Team at Ideal Personnel and Recruitment Solutions.

This is an exciting opportunity for a motivated individual to support our Facilities and Health & Safety Manager and staff across our office locations. The successful candidate will play a key role in ensuring the day-to-day operations of the business run smoothly, while providing professional support alongside facilities, health and safety, and environmental management.

Key Responsibilities:
  • Ensure buildings and offices are compliant with legislative requirements
  • Purchase inventory, stock, and office furniture as required, within budget, and meeting regulatory and legislative requirements
  • Take responsibility for garden maintenance and maintenance of indoor plants
  • Set up meeting rooms and seminars with the correct equipment for staff members
  • Adhere to brand standards and ensure consistency of branding across offices
  • Provide cover for front-of-house assistance, including reception duties, answering calls, meeting and greeting clients and contractors, and assisting colleagues with enquiries
  • Comply with procedures for the safe keeping of documents and files
  • Provide ad-hoc cover on Reception, answering phones, emails, greeting clients, and helping staff with queries
  • Complete other facility administrative tasks as required
Requirements:
  • IT literacy in Microsoft applications such as Outlook, Word, Excel, and PowerPoint
  • Ability to organize and manage workload priorities effectively
  • Ability to use initiative to produce solutions and ways forward that contribute to business goals
  • Possess strong communication skills
  • Excellent collaboration skills to develop relationships with colleagues and external service providers
  • Ability to analyze information and present it simply and accurately
  • Hardworking with strong attention to detail
