Our client, a leading and forward-thinking legal practice, is seeking a Financial Administrative Assistant to provide essential support within the Private Client division.
Key Responsibilities- Deliver exceptional service to clients by offering comprehensive secretarial and administrative assistance to a minimum of two attorneys.
- Manage incoming calls and address client inquiries in the absence of the assigned lawyer.
- Welcome clients visiting the office without prior appointments, addressing their questions, taking messages, and documenting relevant information.
- Initiate and conclude client files in accordance with established protocols, including conducting online compliance checks and assisting with manual risk assessments.
- Perform typing duties for attorneys, ensuring accuracy and attention to detail.
- Oversee document management tasks, including the tracking and logging of legal documents entering and exiting the firm.
- Coordinate with external typing services to compile work received, ensuring all necessary enclosures are prepared for dispatch.
- Collaborate with the finance team to guarantee precise and timely financial administration, including processing transaction requests through the firm's management system.
- Report any technical issues related to IT, telecommunication, and printing equipment.
- Contribute to team efforts by providing broader secretarial and telephone coverage as needed.
- Assist with various client and administrative tasks, including compliance and risk management activities.
- Adhere to and familiarize oneself with the firm's policies and procedures.
- Strong command of grammar and spelling.
- Excellent written and verbal communication abilities.
- Proficient in relevant software applications.
- Exceptional organizational and administrative skills, with the capacity to prioritize tasks effectively.
- Demonstrated initiative and the ability to maintain composure under pressure.
Salary: £25,000 - £30,000, commensurate with experience.
- Working Hours: Monday to Friday, 9:00 AM to 5:15 PM, with hybrid options available post-probation.
- Generous holiday allowance of 25 days, plus an additional 2 days during the festive season.
