Job Title: Executive Assistant to Finance Director

ROC Recruitment is seeking a highly organized and detail-oriented Executive Assistant to support the Finance Director in a dynamic and fast-paced environment.

Main Responsibilities:

  • Manage all correspondence, records, and documentation related to charitable activities, including donations, proposals, and Family Foundation matters.
  • Assist the Finance Manager with the Principal's SEC reporting to the Company Compliance Team.
  • Perform ad hoc project work, such as UK infrastructure projects and domestic/home renovations.
  • Process invoice payments via online banking and payment instructions.
  • Monitor and record company/staff credit card expenditures and receipts.
  • Check online utility accounts, pay bills, and record transactions.
  • Respond to general queries regarding payments from colleagues and Accountants.
  • Produce and send the month-end payments report to Accountants.
  • Maintain up-to-date records and files.
  • Update Finance/Bank contact lists.
  • Fax and courier documents and packages as required.
  • Open and distribute post, including scanning copies of Finance post to the Finance Director or Finance Manager, extracting invoices for payment, renewing membership payments, and passing on post to colleagues.

Requirements:

  • Degree-educated with excellent numerical skills and attention to detail.
  • Proficient in Microsoft Office suite.
  • Experience in managing multiple priorities, administrative coordination, and logistics.
  • Well-organized, detail-oriented, and able to multitask with great follow-up skills.
  • Strong written and verbal communication skills.
