Facilities Operations Manager (Electrical Supervisor)

Position Overview:

An experienced Facilities Operations Manager is sought to oversee the Facilities Management team and related responsibilities at our healthcare site. This role is pivotal in ensuring the effective management of all Facilities Management functions within the premises.

The Facilities Operations Manager will handle a variety of tasks, including both reactive and planned maintenance, while also supporting modifications, changes, and projects as necessary.

This position includes direct supervision of the Facilities Management team, ensuring that all services are maintained and repaired according to contractual obligations, timelines, and budgetary constraints. The primary objective is to reduce reactive maintenance through proactive management and high-quality execution of all tasks, ensuring safety and professionalism.

As a key player in the healthcare sector, we are dedicated to ensuring that patients receive the necessary treatment and optimal care. This role emphasizes a patient-first approach in fulfilling all Facilities Management responsibilities.


Key Responsibilities:

Management Duties:
  • Direct oversight of the Facilities Management team, including HR functions, leave approvals, performance reviews, and training needs.
  • Ensuring adequate Facilities Management support during operational hours, including on-call responsibilities.
  • Management of building lifecycle and medical pre-installation processes, including budgeting and cost management.
  • Assisting the Contracts Manager with Facilities Management data for performance reporting.

Planned Preventative Maintenance:
  • Developing and managing Planned Preventative Maintenance (PPM) schedules using the helpdesk software, in compliance with contractual obligations and regulatory changes.
  • Allocating and executing PPM tasks as assigned through the helpdesk, which may occur outside of standard working hours.
  • Ensuring timely completion of PPM tasks by all team members, with escalation to management when necessary.
  • Strategically planning PPM tasks to minimize downtime, considering access, tools, costs, and parts availability.
  • Supervising contractors as needed, including during non-core hours.
  • Inspecting subcontractor work and ensuring follow-up on corrective actions.
  • Accurately completing job sheets and documenting results or comments in a timely manner.
  • Providing assistance to team members as directed by management.

Reactive Maintenance:
  • Supporting the helpdesk in appropriately assigning tasks to the Facilities Management team or subcontractors.
  • Ensuring that Facilities Management duties are performed in accordance with service level agreements.
  • Providing technical support to the Facilities Management team.
  • Addressing reactive tasks reported by customers, prioritizing based on service level agreements.
  • Conducting initial assessments to estimate time and materials needed for resolution.
  • Coordinating subcontractor attendance when required.
  • Completing job sheets accurately and promptly, documenting results or comments.
  • Discussing any interruptions to planned maintenance with management.
  • Participating in the on-call rota as required.

Proactive Maintenance:
  • Identifying and addressing unreported tasks that require attention.
  • Ensuring all team members complete assigned tasks.
  • Engaging in routine site inspections with management to identify and document potential issues.
  • Recording observations and sharing them with management for further investigation.

General Responsibilities:
  • Maintaining appropriate inventory levels of stock and spare parts, obtaining quotes and necessary information for approval.
  • Serving as the initial escalation point for Facilities Management work while notifying management of any compliance issues.
  • Providing feedback on team performance and conducting reviews.
  • Delivering a monthly overview of Facilities Management performance to management.
  • Evaluating Facilities Management contractors for suitability.
  • Ensuring health and safety compliance.
  • Assisting management with project-related timing and cost estimates.
  • Performing other tasks as necessary and agreed upon based on qualifications.
