About the Role

SmartStream is seeking a highly skilled and experienced HR Administrator to join our team. As an HR Administrator, you will play a key role in supporting the HR function and ensuring the smooth operation of our global HR activities.

Key Responsibilities

  1. Update and maintain our HR systems and databases.
  2. Support the tracking of global employee relations activities and provide regular reports to the HR team.
  3. Issue new employee contracts and arrange inductions for new starters.
  4. Support global immigration administration and work closely with the Global HR Advisor.
  5. Monitor and track global employee probations and escalate any issues to the HR Advisor.
  6. Coordinate all vetting and re-vetting activities and report on SmartHR.
  7. Support in global employee surveys, data reporting, and agreed objectives.
  8. Monitor and track global employee attendance levels and leave, and produce monthly Bradford factor reports.
  9. Produce monthly and quarterly HR reports, including absence, KPIs, and other ad-hoc reports.
  10. Monitor the Global HR inbox and respond to queries, escalating when required.
  11. Monitor HR GDPR requirements and deliver on agreed activities.
  12. Support in the maintenance and review of HR policies and guides.
  13. Support in the creation of checklists to help standardize HR practices and manager guides.
  14. Become a Sage People super user and monitor all 'cases', system adaptations, and updates.
  15. Support with the annual performance review program, objective progression, and reporting.
  16. Support the HR Administrator in the creation and maintenance of all employee digital files, ensuring archiving of leavers and cleansing of information held in line with the Data Protection Act/GDPR.
  17. Manage and support the leaver process and exit interview process, producing reports and diary management for the HR Manager and HR Advisor.
  18. Support the HR team with all additional HR administration requirements.
  19. Any other duties as required.
  20. Keep up-to-date with the latest HR trends and best practice.

Requirements

  1. Good working knowledge and experience in HR administration.
  2. Awareness of UK employment law.
  3. Able to work in a fast-paced and constantly changing business environment.
  4. Excellent communication and interpersonal skills essential.
  5. Excellent accuracy with data input and attention to detail.
  6. Experience in working effectively to meet deadlines.
  7. Fluent in English.
  8. Excellent organizational skills.
  9. An interest in global HR and immigration.

Desirable Skills

  1. Working knowledge of current legislation – HR and Immigration.
  2. Working knowledge of Sage People.
  3. Previous experience of global HR / global immigration.

Qualifications

CIPD or equivalent qualification advantageous.
