Job Overview

The individual in this role will oversee the execution of all project goals and ensure the delivery of essential outcomes, while providing comprehensive professional and organizational assistance to the Principal Investigator.

This position entails supervising all project initiatives; conducting research and preparing reports and presentations; engaging with key internal and external stakeholders; and proactively managing critical elements of project execution.

The individual will report directly to the Principal Investigator and will be situated within the Information Studies department of the College of Arts.

Key Responsibilities 1.

To strategize and provide effective operational support for the administration and management of the project, ensuring oversight of milestones and deliverables across collaborators to guarantee successful project completion.

2.

Assist the Principal Investigator and their management team in monitoring overall project development, execution, and progress to ensure successful outcomes.

3. Maintain the comprehensive project plan, making updates as necessary, and ensuring alignment with the Risk Register. 4.

Establish and sustain effective communication channels to ensure the smooth flow of information and foster strong relationships among project partners and key stakeholders, including organizing and coordinating relevant meetings.

5.

To proactively plan and coordinate the development of project activities and workshops, monitoring the execution of these initiatives delivered by project partners and collaborators.

6.

Manage all relationships with project partners, serving as the primary contact for external collaborators and organizations, including new partners contributing content and expertise as needed.

7. Oversee the implementation of the project's engagement and dissemination strategy. 8. Organize outreach and impact events. 9. Manage project reporting, arranging and participating in regular review meetings, including monthly updates and annual assessments, while supporting project closure. 10. Provide specialized advice and assistance for all inquiries related to the project. 11.

Collaborate with the Principal Investigator and their management team to organize and oversee financial and business processes, ensuring all project aspects meet their budgetary forecasts and key performance indicators.

12. Monitor and manage budget allocation and expenditures. 13. Provide management information, forecasting, and analysis to support project, school, college, and university needs. 14.

Assist the Principal Investigator and their management team in the creation and maintenance of the project risk register, GANTT chart, action logs, etc., to support overall project objectives.

15.

To actively lead the management of knowledge generated by the project and support the development of the impact and innovation pipeline associated with the project.

16.

To proactively identify and implement opportunities for enhancing administrative systems, processes, and procedures to improve project management delivery.

17. Undertake any other relevant project management support tasks as required.

Knowledge, Qualifications, Skills and Experience Essential Knowledge / Qualifications: A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in similar or various roles.

Or:

Scottish Credit and Qualification Framework level 9, or equivalent (including professional accreditation with relevant formal training), and experience of personal development in similar or related roles. A2 Proven project management experience and expertise.

A3 Understanding of data integrity and its significance.

Desirable: B1 Postgraduate degree or qualification in a related field.
B2 Familiarity with the Higher Education research environment and large-scale research grant management.
B3 Understanding of grant application processes, including costing and funder guidelines.
B4 Knowledge of the regulatory framework governing research in a specific College area.

B5 Awareness of administrative and support systems necessary for project management, along with their process design, systematic process improvement, and monitoring.

This position is full-time and fixed-term.
