Role Summary

In this pivotal role, you will spearhead the continuous enhancement of the materials management function within healthcare facilities, serving as the primary authority for all policies, processes, and systems related to materials management. You will oversee the administrative support team, ensuring the seamless operation of all procurement, SAP, and supply chain support services. Your responsibilities will include identifying operational and administrative procurement needs and facilitating the development and execution of suitable policies, processes, and reporting mechanisms to guarantee compliance and operational efficiency.

Key Responsibilities

  • Formulate and execute materials management policies and operational procedures to ensure the safe, efficient, and compliant utilization of materials in healthcare settings, thereby enhancing the quality and overall effectiveness of the materials management function.
  • Establish and implement methods to assess and report on the effectiveness of the materials management operations.
  • Deploy effective inventory management strategies across all hospital inventories, minimizing stock levels while ensuring exceptional service and the uninterrupted, safe functioning of the organization.
  • Create systems and processes to maintain visibility of stock levels, including both owned and consignment items.
  • Reduce stock wastage and obsolescence.
  • Serve as the liaison between the Group Procurement function and materials management, ensuring policy, process, and solution alignment.
  • Enhance overall supply chain performance and seek innovative improvements to systems and processes.
  • Represent the supplies management function in various business projects and initiatives, acting as a Business Partner to represent the UK procurement and supply chain function across other UK functions and sites. Maintain a prominent presence within the organization.
  • Develop and manage an efficient Procurement Administration function, encompassing: Purchase Order Management, Vendor/Product/Catalogue sign-offs, New Product and Supplier Requests, Supplier due diligence systems, team scheduling, and other administrative tasks.
  • Establish and implement internal/external SLAs/KPIs to ensure prompt and effective management of SAP and Procurement inquiries.
  • Mentor, coach, and develop team members.
  • Support the advancement of global procurement initiatives and their local implementation.

Qualifications and Experience

  • Minimum of 5 years of experience in inventory/materials management or related financial or operational roles at a senior level.
  • Strong understanding of inventory/materials management principles and their practical application.
  • Familiarity with ERP and Inventory Management systems, along with financial budgeting processes.
  • Highly motivated with a proactive attitude.
  • Ability to navigate ambiguity effectively.
  • Proven track record of meeting deadlines.
  • Advanced proficiency in computer skills, particularly Microsoft Office.
  • Excellent written and verbal communication abilities.
  • Proven capacity to work effectively both in a team environment and independently as required.
  • Flexibility and adaptability to accommodate the evolving needs of the organization.
  • Demonstrated customer service skills aligned with the organization's vision and values.

Preferred Experience

  • Experience in hospital stores management.
  • Experience in hospital operational management.
  • Proficiency in SAP or similar systems.
  • Development and implementation of inventory and materials policies and processes.

Essential Qualifications

  • A Levels + 5+ years of hands-on inventory management experience as outlined above.

Preferred Qualifications

  • Relevant industry qualifications in Supply Chain Management, Business Management, Finance, Computing (ERP), Information Systems, or Logistics Management.
