We are seeking a highly organized and experienced Team Leader to join our Oakview Family Practice team. As a key member of our reception team, you will be responsible for supervising and supporting our front desk staff, ensuring they achieve their primary responsibilities.
Main Responsibilities- Induction and training of all new staff to agreed standards.
- Ensure adequate staffing levels, approve annual leave and other leave as appropriate.
- Ensure all staff have adequate time to carry out administrative duties.
- Maintaining and monitoring the practice appointment system.
- Signpost patients to the correct service and deal with more complex enquiries from patients.
- Deal with general telephone enquiries from patients and the public.
- Initiating contact with and responding to, requests from patients, team members and external agencies.
- Input data into the patients healthcare records as necessary.
- Direct requests for information, SAR, insurance/solicitors letters and DVLA forms to the administrative team.
- Manage all queries as necessary in an efficient manner.
- Carry out system searches as requested.
- Maintain a clean, tidy, effective working area always.
- Monitor and maintain the reception area and notice boards.
- Support all clinical staff with general tasks as requested.
- Ensure all reception duties are up to date (Prescriptions, tasks, emails etc.).
We are a small family-oriented practice working from our own building that we designed and built 25 years ago. Our staff have been with us many years and work closely together in a happy team. We like to be well-organized and operate a calm and efficient surgery which is patient-centered and has a high reputation locally and good feedback on the GP surgery national survey. Posts attract the NHS pension scheme, 4 weeks holiday and training and development. The practice is also involved in local community projects and Dr Tattersfield heads up the local Primary Care Network of GPs so we are at the center of decision-making in our patch.
Job Responsibilities- Partake in audit as directed by the audit lead.
- Providing reception staff to support administrative staff during periods of staff absence.
- Produce, maintain, and participate in the receptionist rota for lunch and out-of-hours cover.
- Support reception staff development, providing guidance and direction, ensuring staff are up to date with mandatory training.
- Identify and provide team training where required.
- Support the Practice Manager in producing and maintaining the duty rota, completing opening, and closing procedures in accordance with practice policy.
- As required, support the practice in the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
- Support the Practice Manager with all Patient Participation Group-related matters.
- Support the health promotion lead and display promotional material on the allocated notice boards and in the waiting room.
