Job Summary

The Administrative Assistant, EMEA will provide administrative support to the Legal function, ensuring the smooth operation of corporate governance and contract administration. This role will be responsible for maintaining corporate records, organizing virtual filing systems, and supporting client contract compliance requirements.

Key Responsibilities

  • Maintain accurate and up-to-date corporate records, including board meeting minutes, resolutions, and compliance with regulatory requirements.
  • Organize and maintain a virtual filing system, including Power of Attorneys, Guarantees, and file NDA's.
  • Support client contract compliance requirements, including tracking law firm engagement letters and billing rates.
  • Assist with various office administration tasks, such as couriers and post.
  • Support document preparation and review, including simple amendments and resolutions.
  • Liaise with third-party providers on regulatory and legal requirements for cosec matters across EMEA.
  • Help respond to requests for copies of documents and policies.
  • Support the implementation of a contract management system.
  • Assist with legal due diligence efforts relating to various group matters.
  • Liaise with the North America Legal team as needed.

Requirements

  • University degree level or other administrative training certifications.
  • Ability to read, analyze, and interpret various legal documents.
  • Expertise in working with Word, Excel, and PowerPoint.
  • Organized individual with the capacity to handle multiple projects simultaneously, work well under pressure, and prioritize work effort with minimal supervision.
