Position Overview:

The UK Procure-to-Pay Coordinator will facilitate the comprehensive procurement process for goods and services, assisting in-country procurement teams, various stakeholders, and GSSC procurement within the P2P framework. This position is situated in the United Kingdom.

Reporting Structure: Reports to the Procurement Manager, Source-to-Invoice.

Key Responsibilities:

Individual Responsibilities:

  • Assist in resolving intricate, language-specific challenges.
  • Provide support to Accounts Payable concerning PO-related invoicing matters.
  • Offer assistance to internal users regarding Supplier/PR/PO inquiries.
  • Facilitate change management for suppliers transitioning to Purchase Orders.
  • Establish and nurture relationships across multiple stakeholder channels to deliver support.
  • Collaborate with cross-functional partners to leverage expertise, resources, and ensure uniformity while sharing best practices.
  • Coordinate with Accounts Payable counterparts to address purchasing holds and related issues.
  • Engage with the DtR team to resolve purchasing holds and other challenges.
  • Support both Direct and Indirect Procurement in maintaining purchasing documentation (controls).

Shared Responsibilities:

  • Assist with the CWK process.
  • Monitor the DtR Mailbox for notifications regarding new CWKs and extensions.
  • Update the CWK listing as necessary.
  • Generate CWK orders for new CWKs and adjust existing orders as required due to rate changes.
  • Assist in establishing CWK Override rates.
  • Conduct weekly monitoring of failed receipt reports.
  • Address queries and provide resolutions concerning CWK timesheet amendments and corrections.
  • Support Accounts Payable in resolving issues related to CWK invoices.
  • Assist with offline CWK processes.

Qualifications & Experience:

To excel in this role, candidates should possess:

  • Experience in a procurement environment within a large, complex matrix organization (preferably in a source-to-invoice P2P context).
  • The ability to collaborate effectively with multidisciplinary teams towards a shared objective.
  • A proactive and motivated approach, coupled with strong time management skills and the ability to communicate confidently while building robust relationships.
  • Familiarity with Microsoft tools and services, as well as an ERP system. Procurement qualifications are highly advantageous.
  • Knowledge of Oracle ERP systems is beneficial but not mandatory.
  • A keen eye for detail and the capability to manage multiple tasks simultaneously.
  • Strong time management skills, as this role operates as a shared resource.
