Position Overview

An exceptional opportunity has emerged within our Imaging department, located at Liverpool Women's Hospital, for the role of Imaging Services Coordinator.

The Imaging Services Coordinator will demonstrate outstanding communication abilities with patients and all tiers of personnel, including senior management and healthcare professionals. This role requires the capacity to recognize capacity and demand challenges within the Imaging Department and contribute to developing effective solutions.

Key Responsibilities

The individual in this position will be accountable for delivering daily support to the Imaging Booking Clerk within the Imaging department. Responsibilities include managing appointment scheduling and serving as a resource for advice and guidance within the team.

The Coordinator will oversee daily staff management functions, including scheduling and workload organization. The role demands the ability to prioritize personal tasks while ensuring the service meets established standards.

Initiative is essential, as the Coordinator will supervise all departmental activities.

All operations within the Imaging department must adhere to Trust Policies.

Collaboration with the Imaging team is crucial, and there will be opportunities for professional development and learning.

Job Duties and Responsibilities

Primary Duties Include:

  • Overseeing the daily functions of the Imaging administrative team.
  • Assisting staff with complex patient bookings and potential complaints, collaborating closely with the Imaging support officer to resolve issues.
  • Ensuring that appointment scheduling aligns with Trust Policies.
  • Analyzing patient tracking lists and waiting list data to ensure appropriate scheduling of patients and clinics, while conducting data quality reviews as necessary.
  • Providing guidance and information regarding procedures, appointments, and clinic arrangements to the Divisions and within the service.
  • Maintaining an organized electronic and paper filing system relevant to the department and managing patient records in accordance with Trust Records Management Policy.
  • Allocating daily tasks, monitoring staff progress, and conducting audits of departmental work as required.
  • Offering supervisory support within the department and direct line management to the Imaging Booking Clerk, including training and support on an as-needed basis.
  • Assisting the Imaging support officer in reviewing clinical and non-clinical incidents related to the service, performing root cause analysis, and implementing corrective actions.
  • Contributing to the formulation of departmental standard operating procedures.

Qualifications & Experience

Essential:

  • Minimum of GCSE level education or equivalent, including English and Mathematics.
  • European Computer Driving Licence (ECDL) or equivalent qualification.
  • Experience in a contact center or similar appointment booking environment.
  • Comprehensive knowledge of hospital-based Patient Administration Systems and Clinical Systems.
  • Experience in providing daily supervision to a small team, preferably within an NHS context.
  • Prior experience in data entry and input.

Desirable:

  • Experience in an NHS contact center or similar appointment booking environment.
  • Experience in developing policies and specific standard operating procedures.
  • Experience in staff management, including handling sickness absence and conducting performance reviews.
