We are seeking a highly skilled and experienced Executive Assistant to support our Deputy CEO in a fast-paced and dynamic environment. The successful candidate will be responsible for providing exceptional administrative support, ensuring the smooth operation of the Deputy CEO's office, and contributing to the overall success of Leaman Consulting.
Key Responsibilities- Administrative Support
- Provide administrative support to the Deputy CEO, including diary management, document production, and travel arrangements.
- Prepare for meetings, ensuring that the Deputy CEO has all relevant documentation ready for pre-reading/saved in the relevant folders.
- Prepare for the ExCo and OpCo board meetings, including arranging the meetings, taking minutes, collating, and sending around agendas and ensuring subsequent actions are dealt with prior to the meeting.
- Asset and Resource Coordination
- Coordinate assets and resources for the Global Sales Committee.
- Relationship Building
- Build trustworthy relationships among stakeholders, internal teams, and external contacts.
- Presentations and Reporting
- Put together presentations for the Deputy CEO as and when required.
- Prepare reports/templates that will be beneficial to the management of the sales team.
- Financial Management
- Approval of invoices and expenses.
- Personnel Management
- Support the Deputy CEO with the people management of her team, acting as the gatekeeper for these direct reports whilst building and establishing relationships with the team to keep the Deputy CEO briefed.
- Oversee expenses approvals for direct reports on behalf of the Deputy CEO.
- Manage regular catch-ups with direct reports.
- Performance Tracking
- Support annual budget and performance tracking for the Deputy CEO's teams.
- Set up budget preparation meetings for each department and hub.
- Ensure regular reports get to the Deputy CEO to track versus budget.
- Global Coordination
- Support global coordination for the sales teams.
- Structure, diarize, and organize required global sales team reviews for the Deputy CEO, ensuring preparatory documents have been prepared and the Deputy CEO is fully briefed.
- Process Implementation
- Assist the Deputy CEO and the sales management team in setting up the operating framework and goals for the sales and commercial departments.
- Support the implementation of new processes, decision matrices.
- Work closely with the Deputy CEO, the commercial team, and the regional sales management team to identify areas that require global consistency in policies and guidelines.
