We are seeking a highly organized, proactive, and discreet Russian-speaking Personal Assistant/Executive Assistant (PA/EA) to support a high-net-worth (HNW) family based in London.

The successful candidate will play a critical role in ensuring the smooth running of both personal and business affairs, providing comprehensive administrative support in a fast-paced, dynamic environment.

Key Responsibilities:

  • Diary Management: Organize and manage complex calendars, scheduling meetings, appointments, and events across multiple time zones.
  • Travel Coordination: Arrange and manage all aspects of domestic and international travel, including flights, accommodations, visas, and detailed itineraries.
  • Communication: Act as the primary point of contact, managing correspondence in both Russian and English, including emails, phone calls, and written communication. Handle confidential information with utmost discretion.
  • Personal Support: Assist with personal tasks such as managing household staff, organising personal appointments, shopping, and event planning.
  • Document Management: Prepare, proofread, and translate documents, presentations, and reports as required. Maintain accurate and organized filing systems, both electronic and paper-based.
  • Liaison Role: Serve as a key liaison between the family office, external service providers, and other stakeholders. Ensure all interactions are handled efficiently and professionally.
  • Project Management: Support the planning and execution of special projects, including property management, events, and philanthropic activities.
  • Financial Administration: Assist with expense tracking, budget management, and invoice processing, ensuring all financial records are accurate and up-to-date.

Key Requirements:

  • Language Skills: Fluency in both Russian and English, with excellent verbal and written communication skills in both languages.
  • Experience: A minimum of 5 years of experience in a PA/EA role, ideally within a family office, private household, or a corporate setting dealing with HNW individuals.
  • Discretion and Confidentiality: Must possess a high level of integrity and discretion in handling sensitive and confidential matters.
  • Organizational Skills: Exceptional organizational and multitasking abilities, with a strong attention to detail.
  • Interpersonal Skills: Strong interpersonal skills, with the ability to build relationships and communicate effectively with diverse stakeholders.
  • Flexibility: Willingness to work outside of standard office hours and travel occasionally as required.
  • Tech Savvy: Proficiency in MS Office Suite, Asana, Superhuman including Word, Excel, PowerPoint, and Outlook, along with familiarity with other office management tools.

Desirable Qualifications:

  • Experience working in an international environment.
  • Knowledge of the luxury market, property management, or the finance sector.
  • A degree in business administration, languages, or a related field.
