As an Events Coordinator, you will collaborate closely with the Head of Events to assist in the planning and execution of the company's in-person gatherings, which currently include an annual conference and exhibition in the cement sector. We are in search of a versatile individual with comprehensive experience throughout the entire event lifecycle. This position is based in our office in Farnham, Surrey (UK), and your daily responsibilities will encompass:

  • Engaging with our internal teams, suppliers, speakers, sponsors, and exhibitors.
  • Managing registrations and RSVP processes.
  • Overseeing supplier procurement and management (venue, AV and technical services, entertainment, décor, etc.).
  • Facilitating delegate communication and support.
  • Implementing promotional marketing strategies across social media, websites, and email campaigns.
  • Conducting post-event reports and analytics.
  • Coordinating on-site event setup and execution.

You will work in conjunction with various departments within the company, including Sales, Editorial, and Design Production teams. This role may involve some international travel to support our conferences and exhibitions or assist our sales department.

As part of a small office environment, you may also be tasked with various administrative duties and additional responsibilities as needed.

Essential skills required:

  • A minimum of 2 years of in-person event planning experience in the B2B sector, particularly with conferences and exhibitions.
  • Strong project management and organizational capabilities.
  • Excellent communication and interpersonal skills.
  • Analytical and decision-making abilities, with adaptability to change.
  • Outstanding troubleshooting and problem-solving skills.
  • Deadline-oriented with a proactive and accountable approach to projects.
  • A collaborative team player who can work effectively with diverse stakeholders.
  • An exceptional attention to detail is crucial.
  • Proficiency in productivity software, particularly Microsoft Office Suite, including Excel and PowerPoint.

Desirable experience:

  • Familiarity with Adobe media products (Photoshop, Illustrator, Premiere Pro) or similar tools.
  • Basic skills in video editing and graphic design.
  • Interest or experience in planning events within the primary sector.
  • Experience with digital events such as webinars and other virtual formats.
  • Copywriting abilities.
  • Experience using digital platforms like Cvent, GoToWebinar, or GoToMeeting.
  • Additional IT skills and software knowledge, including HTML, SEO, SEM, MailChimp, and Google Analytics.
