About the Role

We are seeking a dedicated and professional Information and Access Officer to join our team at Reed. As a key member of our community outreach program, you will be responsible for providing a welcoming reception and information service to our clients, assessing their needs, and delivering assistance to promote well-being and safety within the community.

Key Responsibilities
  • Provide a Professional Information Service: Offer a friendly, courteous, and professional information service across various communication channels, including face-to-face, phone, and written correspondence.
  • Assess and Respond to Enquiries: Respond to public enquiries, including those from distressed individuals, with timely and understandable information or referrals, ensuring that their needs are met and they receive the necessary support.
  • Contribute to Information Systems: Contribute to the development and maintenance of information systems and libraries, ensuring that they are up-to-date and accurate.
  • Facilitate Appointments and Enquiries: Make telephone enquiries, arrange visits, and facilitate appointments on behalf of enquirers, ensuring that their needs are met and they receive the necessary support.
  • Provide Information on Eligibility: Provide up-to-date information on eligibility for services and criteria, ensuring that clients understand their options and can access the support they need.
  • Handle Complex Enquiries: Handle complex enquiries concerning eligibility and administrative procedures, providing clear and concise information and guidance to clients.
  • Liaise with Other Services: Liaise with other services and agencies, advocating on behalf of clients when necessary, to ensure that they receive the necessary support and services.
  • Maintain Customer Records: Maintain effective customer records, ensuring that high-risk information is communicated appropriately and that clients receive the necessary support and services.
  • Develop Positive Relationships: Develop positive relationships with community/voluntary organisations and other services, ensuring that clients receive the necessary support and services.
  • Advise on Form Completion: Advise on and assist with form completion, monitor decisions against eligibility, and direct provision of equipment as needed, ensuring that clients receive the necessary support and services.
  • Promote Equal Access: Promote the Gateway to Care initiative and encourage equal access to services, ensuring that all clients receive the necessary support and services.
Requirements
  • Substantial Customer Service Experience: Substantial experience in customer service, both face-to-face and over the phone, ensuring that clients receive a high level of service and support.
  • Information Retrieval and Input Skills: Familiarity with information retrieval and input across various platforms, ensuring that information is accurate and up-to-date.
  • Literacy and Numeracy Skills: Literacy and numeracy skills for form completion, report writing, and information collation, ensuring that clients receive accurate and clear information.
  • Awareness of Equality Issues: Awareness of equality issues and their impact on service delivery, ensuring that clients receive equal access to services and support.
  • Knowledge of Services: Knowledge of services provided by local authorities, health authorities, and voluntary organisations, ensuring that clients receive the necessary support and services.
  • Understanding of Confidentiality: Understanding of the importance of confidentiality, ensuring that client information is kept secure and confidential.
  • Problem Analysis and Solution Skills: Problem analysis and solution proposal skills, ensuring that clients receive the necessary support and services to resolve their issues.
  • Ability to Prioritise Tasks: Ability to prioritise tasks and meet deadlines, ensuring that clients receive a high level of service and support.
  • Proficiency in Microsoft Office: Proficiency in Microsoft Office and other software packages, ensuring that information is accurate and up-to-date.
  • Willingness to Train: Willingness to undertake further training and development, ensuring that clients receive the necessary support and services.
  • Enhanced Disclosure and Barring Service Check: Willingness to undergo an enhanced Disclosure and Barring Service check, ensuring that clients receive a high level of service and support.
