Band 5 - Operational Support Manager - Surgical Services.

Full-time (Monday to Friday) - Permanent.

An exceptional opportunity has emerged for an Operational Support Manager within the Surgical Services department.

This position offers a remarkable development pathway for an individual eager to advance into an operational capacity within the NHS secondary care framework.

The role encompasses assisting the Service Manager with the daily operations of the department across multiple sites. This is a cross-site position, necessitating presence at various locations.

The responsibilities will include direct engagement with clinical personnel and the daily oversight of secretarial and administrative staff within the specialty. The role will support the Directorate management team in achieving key performance indicators by closely collaborating with multi-disciplinary team coordinators and scheduling teams, ensuring optimal utilization of theatre and clinic resources while prioritizing patient experience in service delivery.

This position is ideal for a versatile team player who can operate both independently and as part of a broader multi-disciplinary team.

Main Responsibilities

The role is diverse and involves fostering close working relationships with secretarial and administrative support staff within the Directorate.

Additionally, the position will assist in all other administrative aspects of the Directorate, including managing administrative personnel, clinic utilization, and performance reporting related to key performance metrics. The successful candidate will need to demonstrate excellent interpersonal skills along with a comprehensive understanding of various hospital IT systems.

This role demands a keen attention to detail, accuracy, and the ability to work under tight deadlines and pressure. While primarily based at one site, the successful candidate will also be required to work across other locations. Job Responsibilities

The Operational Support Manager will report directly to the Service Manager, providing organized and efficient administrative and operational assistance.

The role will involve supporting the Service Manager in various tasks, including administrative oversight of waiting lists, clinics, and theatre capacity, ensuring that administrative processes across the Directorate are coordinated to fulfill governance and performance functions.

Key responsibilities include:

  • Developing and maintaining an effective and efficient administrative service for designated departments.
  • Actively supporting the Service Manager/Operational Manager in achieving the Trust's key performance targets.
  • Liaising with multi-disciplinary teams within the department to enhance the quality of care by utilizing lessons learned from adverse incidents and patient feedback.
  • Assisting in identifying capacity and demand challenges within the service.
  • Participating in weekly meetings focused on waiting times and representing the service in the absence of the Service/Operational managers.
  • Managing departmental leave for all staff groups, including overseeing clinic cancellations.
