Role Responsibilities

The Position:

Are you a seasoned Project Coordinator with expertise in defined benefit pension administration?

In this role, you will oversee a diverse array of large-scale and intricate projects in a client-facing capacity. Projects will encompass various aspects of Pension Administration, including implementations, benefit modifications, pension dashboards, GMPE, and de-risking initiatives.

This position is expected to align with an Aptia office in the UK, offering a hybrid working arrangement. Other flexible working options may be considered on a case-by-case basis.

Key Responsibilities:

  • Comprehensive management of moderately complex to complex projects, ensuring timely delivery, adherence to budget, and high client satisfaction levels.
  • Creation and upkeep of detailed, robust, high-quality risk and project plans, encompassing resources, scope, costs, assumptions, and dependencies—keeping plans current throughout the project lifecycle.
  • Conducting regular work stream and project meetings, documenting and following up on identified actions and risks. This includes ongoing project evaluations through toll gate reviews and health assessments.
  • Assessing the implications of scope alterations and modifying project plans and communications accordingly.
  • Reviewing significant project proposals characterized by high complexity and identifiable risks, validating project requirements, and suggesting necessary adjustments to proposals.
  • Managing cross-departmental resources, negotiating internal resource needs against competing priorities.
  • Engaging in client-facing communications as required, ensuring that progress, risks, and issues are conveyed clearly with a solutions-oriented mindset.
  • Delegating tasks to junior and support team members as necessary, ensuring compliance with departmental standards and procedures.
  • Fostering a culture of continuous improvement by actively proposing new standards and procedures based on project experiences and outcomes.

Candidate Profile:

  • Proven experience as a Project Coordinator, with extensive knowledge of DB, DC, and insured pension schemes. Experience in both Trust and Insurance-based work is highly desirable.
  • Demonstrated experience in managing pension administration projects.
  • Exceptional relationship-building and communication skills at all organizational levels, both internally and externally.
  • Highly organized and structured, capable of effectively prioritizing multiple workloads across various deadlines.
  • A proactive learner, adaptable to evolving environments.
  • Strong business acumen with prior client-facing experience.
  • Possession of a project management qualification is advantageous or a willingness to pursue one.
  • Proficient in MS Office applications, including Word, PowerPoint, and Excel.
