About the Role

We are seeking a highly motivated and organized Clinical Services Coordinator to join our team at Avon & Wiltshire Mental Health Partnership NHS Trust. Key Responsibilities
  • Liaise with a wide range of stakeholders, including medical staff, multidisciplinary teams, services users, and external agencies.
  • Utilize strong written and verbal communication skills to connect with people from diverse backgrounds.
  • Exchange information with patients, staff, and carers regarding appointments, admissions, and meetings.
  • Provide and receive routine and complicated information, including dealing with enquiries from external stakeholders and the public.
  • Work within a multi-disciplinary environment, ensuring effective communication with team members and facilitating administration processes.
  • Manage both telephone and face-to-face contacts with distressed service users in a supportive and empathetic manner.
  • Exercise judgement when dealing with patient enquiries, analyze and resolve non-clinical patient problems, and escalate issues as necessary.
  • Arrange meetings and appointments for team members, negotiating diary conflicts and competing priorities.
  • Type patient reports, correspondence, and emails as required, and input accurate and up-to-date patient data onto the RiO system.
  • Order stationery and other necessary items for the team via the procurement system, and may be responsible for petty cash handling.
  • Support the induction of new staff members as required, and produce confidential correspondence and reports on a frequent basis.
  • Maintain efficient and effective electronic filing systems, and take and distribute formal minutes as necessary.
  • Clerical duties, including photocopying and scanning, and undertake surveys or audits as necessary to own work.
  • Provide cover for colleagues when and where necessary, and plan own workload to ensure that weekly, monthly, quarterly, and annual tasks are met.
Person Specification
  • NVQ 3 qualification or relevant experience in administrative systems and office procedures.
  • Evidence of working well in a team.
  • Ability to show initiative and work proactively with minimal supervision.
  • Ability to prioritize and manage workload independently, particularly conflicting demands.
  • Excellent written and verbal communication skills.
  • Strong IT skills, including knowledge of Microsoft Office systems.
  • Empathy for individuals who have experienced mental health problems.
