ATELIER AND CLIENT RELATIONS SPECIALIST

Hermione de Paula is seeking a dedicated full-time Atelier and Client Relations Specialist to become an integral part of our London team. This position will be based in our central Atelier and private showroom, collaborating closely with the Sales, Production, and Studio teams to enhance client communication and manage various showroom administrative tasks.

Client Management Responsibilities

  • Supervise and enhance the customer journey for HDP clients
  • Serve as the primary liaison for all clients, ensuring exceptional service through various communication channels
  • Welcome clients to the studio and provide refreshments
  • Manage incoming calls and oversee the reception area
  • Initiate client communication via email to schedule appointments with stylists
  • Maintain an accurate and up-to-date client database
  • Collaborate with atelier teams to address customer inquiries and order-related issues
  • Take responsibility for resolving customer queries or complaints with a solution-oriented approach
  • Independently manage and maintain CRM systems, ensuring accessibility of information for the team
  • Assist with client appointments at the private studio and support the team during various client events and activities
  • Reach out to brides for testimonials and professional photography, storing them in the company database
  • Generate client invoices for orders and verify payment processing
  • Ensure timely collection and payment processes are followed

General Office Management and Administration

  • Oversee scheduling systems for client appointments
  • Manage the shipping of client orders promptly
  • Organize the Atelier, including opening and closing the studio and private showroom
  • Coordinate shipping and returns for press send-outs
  • Manage all travel arrangements for the team and oversee the travel budget
  • Schedule external team members, suppliers, and freelancers as needed
  • Perform basic bookkeeping tasks for the atelier
  • Act as the point of contact for all studio employees and freelancers
  • Control inventory of atelier samples and office supplies
  • Arrange courier services and manage office supplies orders and expenditures
  • Provide PA support to Hermione de Paula, Creative Director and Founder
  • Carry out general PA duties and ad hoc requests as required by the atelier

Candidate Requirements:

  • Proficient in IT and skilled in Microsoft Office applications
  • Excellent written and verbal communication abilities
  • Fluent in English; additional languages are a plus
  • Highly organized with exceptional time management skills and the ability to multitask
  • Capable of working independently and collaboratively within a small team
  • Empathetic and helpful approach in client interactions
  • Interest in contributing to a small studio environment
  • Previous experience in sales or customer service is advantageous
