Job Title: Senior Executive Assistant

Knight Frank is seeking a highly skilled and experienced Senior Executive Assistant to join our Country Business team.

The successful candidate will provide exceptional administrative support to the Head of Country Business, ensuring the smooth operation of the business and maintaining the highest level of discretion and confidentiality.

Key Responsibilities:
  • Provide first-class administrative support to the Head of Country Business, including diary management, minute-taking, and document preparation.
  • Operate with strict confidentiality and professionalism at all times, maintaining the highest level of discretion and integrity.
  • Work closely with the Head of Country Business to anticipate their needs and prioritize requests for time and attention from all areas of the business.
  • Proactively manage the Head of Country Business's diary, organizing meetings, travel arrangements, and document production.
  • Prepare for meetings, ensuring all relevant documentation is ready for pre-reading and saved in the relevant folders.
  • Set up appraisal meetings with direct reports, ensuring all documentation is complete before and after the appraisal.
  • Prepare for the monthly Country Board meetings, including ensuring subsequent actions are dealt with prior to the meeting.
  • Take minutes at the Country Board meetings, ensuring they are sent to the Head of Country Business for review in a timely manner and then distributed to the relevant attendees.
  • Review Board papers, ensuring minutes are reviewed and the Head of Country Business carries out their actions before the next meeting.
  • Build trustworthy relationships among stakeholders, internal teams, and external contacts.
  • Proactively build rapport and nurture an effective relationship with the Senior EA/EA network at Knight Frank.
  • Work with the Head of Country Business on ad hoc events throughout the year, such as strategy days and social events.
  • Build presentations for the Head of Country Business as and when required.
  • Approve invoices and expenses.
Requirements:
  • 5+ years of EA experience, with experience at board level and minute-taking.
  • Excellent IT skills, with knowledge of Microsoft Office.
  • Excellent verbal and written communication skills.
  • Background in project management, organization, and administration (preferred).
