About the Role
Activ is seeking a highly motivated and experienced Executive Assistant to provide operational and administrative support to the Executive Director & the Executive Manager, Strategy and Digital. This role requires excellent communication skills, a strong customer-centric focus, and the ability to provide support in a dynamic and fast-paced environment.
Key Responsibilities
- Coordinate all aspects of administrative support to two Executives, including travel, correspondence, and diary/email management;
- Stay abreast of business activities that impact the Executive team and communicate regularly to ensure objectives are met;
- Prepare and review complex documents and board reports, which include financial, customer, and industry components;
- Arrange meetings, facility visits, seminars, and conferences on behalf of the Executive Director and Manager;
- Act as an intermediary on behalf of the Executive Director and Manager, including responding to and resolving incoming enquiries and liaising with external stakeholders.
Requirements
- Recent experience in an Executive Assistant position for a mid to large organisation;
- Advanced competency with Microsoft suite of products and the ability to facilitate meetings using a range of technology;
- Demonstrated ability to research and report on issues showing maturity of judgement and discretion;
- Exceptional report writing skills with previous experience in providing board papers;
- Well-organised, proactive, intuitive, discrete, communicative, efficient, and flexible aptitude.
