JOB OVERVIEW

We are seeking a detail-oriented individual to join our Operations division. In this role, you will ensure that all clients receive exceptional service, whether through phone interactions, email correspondence, or face-to-face meetings. As the initial point of contact for visitors, we are looking for someone who is approachable, efficient, and understands the significance of outstanding customer care.

Your duties will include, but are not limited to, managing incoming calls, welcoming visitors to our facility, registering guests, handling mail and packages, preparing the reception area for daily operations, relaying messages to team members, occasionally setting up meeting spaces with refreshments, and performing various administrative and data management tasks.

This position can be either full-time or part-time; however, you will be expected to be present in the office Monday through Friday during core hours of 9 a.m. to 3 p.m. (these hours can be adjusted slightly if necessary).

Key Responsibilities:
  • Reception Management - Ensuring hospitality and security for all visitors.
  • Issuing security passes and visitor information.
  • Primary responder for phone inquiries.
  • Data Management.
  • Document Archiving - with assistance from the administrative team.
  • Mail Management - processing outgoing mail.
  • Assisting with the distribution of sales-related emails.
  • Coordinating room bookings and arranging catering services.
  • Supporting other teams with general administrative tasks as directed by the Senior Administrator.
  • Successful completion of the Apprenticeship program (if applicable).
Candidate Profile:

The ideal candidate will possess computer proficiency with a solid understanding of Outlook, Excel, and Word, along with experience in front-of-house customer service. You should be capable of prioritizing tasks in a fast-paced environment and be eager to support the team. Developing a comprehensive understanding of our business, including the various industries and services we provide, will be essential. We are looking for a positive self-starter who can work independently and serve as the first point of contact for our clients and visitors.
