Position Overview

Sales Quotation Specialist


Our organization, a leading entity in the design, development, manufacturing, and distribution of stainless-steel containment storage solutions, is currently in search of a Sales Quotation Specialist to enhance our team.

This role is a full-time permanent position, operating Monday to Friday, during standard business hours.

Objective of the Role


The primary focus is on the efficient preparation and management of quotations for a global distribution network, optimizing the potential for successful outcomes.

Required Skills, Knowledge & Experience:


  • Demonstrated experience in an internal sales capacity.
  • Exceptional written and verbal communication abilities.
  • Comprehensive understanding of the sales administration process.
  • Qualifications in English and Mathematics or equivalent experience in a related sales environment.
  • A strong work ethic with the capability to mentor and influence others.
  • Excellent interpersonal, teamwork, and communication skills.
  • Strong administrative capabilities with meticulous attention to detail.
  • Distributor relationship-oriented with a keen sense of commercial awareness.
  • Able to perform under pressure and meet objectives within set deadlines.
  • Proficient in computer skills, including MS Office Suite and Microsoft TEAMS.

General Responsibilities


  • Collaborating with distributors and internal departments to ensure accurate specifications for distributor requirements.
  • Maintaining organized records of pricing, costs, and data utilized in quotation preparation.
  • Assisting in the preparation of order processing documentation and participating in handover meetings to ensure timely transfer of order information.
  • Ensuring all necessary information for meaningful order progress is available before handover to other internal services.
  • Contributing to the ongoing goal of enhancing product and service quality in line with ISO 9001 accreditation.
  • Performing any additional duties as reasonably requested, considering your role.
  • Ensuring that pricing for projects quoted to both distributor and direct markets is handled with integrity, without using information from one source to influence another.
  • Prioritizing health and safety for yourself and others in your area of responsibility.

Key Duties and Responsibilities


  • Reviewing all inquiries meticulously to identify potential commercial, contractual, and technical issues that need to be managed as part of the sales process, thereby mitigating business risks.
  • Preparing all quotations using computerized pricing data, controlled proposal documentation, and authorized pricing policies in accordance with company procedures.
  • Ensuring all quotations comply with defined policies regarding pricing, discounts, contractual conditions, and terms of trade.
  • Carefully checking and thoroughly reviewing all received orders with the sales team, addressing any discrepancies or lack of information that could hinder progress.
  • Maintaining regular communication with the sales team to ensure timely completion of quotations and proposals.
  • Tracking personal key performance indicators (KPIs) related to the generation, recording, and status of qualified leads.
  • Ensuring accurate and complete information is captured in the company’s Customer Relationship Management (CRM) system, conducting regular data quality checks.
  • Reporting regularly to the Internal Sales Manager on performance against agreed sales metrics, KPIs, and targets.
  • Carrying out duties in accordance with all company policies, procedures, and processes.
