POSITION SUMMARY

As a Project Coordinator, you will:

  • Play a vital role in our Project Delivery Team.
  • Collaborate closely with Technical, Engineering, Design, and Manufacturing Teams, as well as Clients and Suppliers.
  • Oversee the execution of multiple projects, ensuring timely delivery, budget adherence, and quality standards from project initiation to completion.

KEY RESPONSIBILITIES

  • Serve as the primary contact for clients throughout the project lifecycle, facilitating communication between the client and project team.
  • Ensure project estimates, budgets, and timelines align with project objectives.
  • Work with department heads to determine resource needs.
  • Maintain profitability as quoted and document any deviations from specifications or contractual commitments.
  • Identify and address any obstacles hindering project progress.
  • Effectively communicate deliverables to both internal and external stakeholders.
  • Encourage a positive project and team culture through proactive communication.
  • Lead virtual project teams to maintain focus on key deliverables throughout the project lifecycle.
  • Monitor project budgets and payment timelines.
  • Create, review, and manage all project management documentation in accordance with standard operating procedures.
  • Organize and facilitate all project review meetings.
  • Identify critical contractual obligations and project risks in collaboration with relevant departments.
  • Consistently add value to clients, fostering partnerships based on trust, respect, and adaptability.
  • Deliver projects to clients while ensuring exceptional service.

EXPECTED OUTCOMES

  • Develop a comprehensive understanding of contractual obligations at project handover, identifying risks and mitigation strategies to communicate to the broader organization.
  • Plan the project timeline, establish key milestones, communicate and initiate work packages across departments, monitor overall progress, and escalate issues as necessary.
  • Drive project outcomes to meet deadlines, quality standards, and budget constraints while ensuring accurate reporting.
  • Manage all communication channels effectively.
  • Review payment schedules and inform the Finance team when payments should be requested at appropriate project stages.
  • Regularly produce project status reports and update documentation as needed.
  • Collaborate with internal teams to identify high-risk project elements to ensure successful delivery.
  • Stay aware of changes in original specifications and communicate impacts to both internal and external clients.
  • Ensure all necessary documentation is provided in accordance with project timelines.
  • Work with all Mpac Group colleagues to ensure compliance with company ISO standards. Promote a culture of Lean and Continuous Improvement by adhering to relevant SOPs.
  • Maintain professionalism, positivity, and demonstrate respect, integrity, trust, and excellence in all interactions with colleagues, clients, and suppliers, in line with Mpac Group's values.
  • Facilitate and manage regular project meetings, providing updates on progress against plans and budgets.

QUALIFICATIONS

  • Experience in managing, facilitating, and leading key review meetings.
  • Proven ability to manage multiple projects concurrently.
  • Demonstrated experience in providing effective solutions.
  • Capability to handle multiple shifting priorities, demands, and timelines simultaneously.
  • Experience in project management.
  • Experience in liaising with clients on complex and potentially challenging issues.

PREFERABLE SKILLS

  • IOSH qualification.
  • Familiarity with quality and safety management processes.
  • Experience with 5S change methodologies.
  • Knowledge of LEAN manufacturing principles.
  • Prince2 or other project management certification.
  • ONC/HNC in a relevant Engineering Discipline.
