Key Responsibilities:
  • Support the Head of Fleet Operations in sourcing vehicles, administering transfers, and managing end-of-lease returns.
  • Arrange repairs and quotations as necessary, ensuring costs are allocated and recharged appropriately.
  • Collaborate with Directors to source parking spaces, prioritizing a cost-effective approach by leveraging private options when possible. Establish and maintain relationships with local authorities to ensure all vehicles have necessary permits.
  • Maintain accurate records regarding vehicle allocations, return dates, permits, maintenance costs, and PCNs.
  • Manage the Drivers Matrix and files, conducting fleet audits to ensure drivers have appropriate insurance coverage.
  • Process PCNs, maintaining accurate records and flagging concerns to Directors.
  • Provide administrative support to drivers on maintenance issues.
  • Support the HR team during periods of annual leave and as needed.
  • Conduct vehicle spot checks, including off-site visits to offices.

Requirements:

  • Proficiency in computer skills, including knowledge of Word, Excel, and mail merge.
  • A desire to develop a career in Fleet or Facilities Management.
  • Ability to drive, with a clean driving license. Comfortable driving a variety of vehicles, including manual and automatic, within Greater and Central London.
  • Knowledge of the company is advantageous but not essential.
