Job Description

**Business Support Officer Role**

We are seeking a highly organized and detail-oriented Business Support Officer to join our team at Macildowie Recruitment and Retention. As a key member of our administrative team, you will provide critical support to our operations and ensure the smooth day-to-day functioning of our office.

Key Responsibilities:
  • **First Point of Contact**: Respond to all incoming inquiries, manage the joint inbox, and log and record enquiries to maintain an accurate audit trail.
  • **Enquiry Triage**: Assess and identify the most appropriate customer service pathway for each enquiry.
  • **Confidentiality and GDPR**: Ensure all confidentiality measures are in place, handle sensitive matters, and coordinate responses with internal and external partners.
  • **HR Support**: Provide administrative support for HR processes, including new starter processes, induction preparation, and equipment availability.
  • **Meeting Support**: Take accurate minutes of stakeholder meetings, distribute them in a timely manner, and follow up on meeting actions.
  • **Financial Processes**: Handle petty cash requests, raise purchase orders, and ensure payment completion.
  • **Administrative Support**: Provide support to Executive Assistants, including photocopying, collating reports, and preparing meeting packs.
  • **Gifts and Hospitality Register**: Manage the administration elements of company schemes and publish documents onto the website.
  • **Reception Management**: Work as part of a team to manage the reception between Monday and Thursday and Friday.

**Requirements:**

  • Highly organized and detail-oriented individual with excellent communication skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Strong administrative skills, including proficiency in computerized systems and filing.
  • Discretion and confidentiality when handling sensitive information.
