Key Responsibilities:- **First Point of Contact**: Respond to all incoming inquiries, manage the joint inbox, and log and record enquiries to maintain an accurate audit trail.
- **Enquiry Triage**: Assess and identify the most appropriate customer service pathway for each enquiry.
- **Confidentiality and GDPR**: Ensure all confidentiality measures are in place, handle sensitive matters, and coordinate responses with internal and external partners.
- **HR Support**: Provide administrative support for HR processes, including new starter processes, induction preparation, and equipment availability.
- **Meeting Support**: Take accurate minutes of stakeholder meetings, distribute them in a timely manner, and follow up on meeting actions.
- **Financial Processes**: Handle petty cash requests, raise purchase orders, and ensure payment completion.
- **Administrative Support**: Provide support to Executive Assistants, including photocopying, collating reports, and preparing meeting packs.
- **Gifts and Hospitality Register**: Manage the administration elements of company schemes and publish documents onto the website.
- **Reception Management**: Work as part of a team to manage the reception between Monday and Thursday and Friday.
**Requirements:**
- Highly organized and detail-oriented individual with excellent communication skills.
- Ability to work in a fast-paced environment and prioritize tasks effectively.
- Strong administrative skills, including proficiency in computerized systems and filing.
- Discretion and confidentiality when handling sensitive information.
