Job Summary

We are seeking a highly skilled and experienced Practice Manager to join our team at Sutton Primary Care Networks. As a Practice Manager, you will be responsible for overseeing the day-to-day operations of our GP practice, ensuring staff achieve their primary responsibilities and maintaining a safe and effective working environment.

Main Duties
  • Oversee the management of all non-clinical and administrative staff, including the Reception Manager and Reception team, Admin team, and ARRS team.
  • Manage the recruitment and retention of staff, develop, implement, and embed an effective succession plan.
  • Establish, review, and regularly update job descriptions and person specifications, ensuring all staff are legally and gainfully employed.
  • Develop, implement, and embed an effective staff appraisal process.
  • Implement effective systems for the resolution of disciplinary and grievance issues.
  • Maintain an effective overview of and ensure compliance with HR legislation.
  • Ensure all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively.
  • Develop, implement, and embed an efficient business resilience plan.
  • Manage contracts for services, cleaning, gardening, window cleaning, etc.
  • Manage the procurement of practice equipment, supplies, and services.
  • Coordinate the reviewing and updating of all practice policies and procedures.
  • Lead change and continuous improvement initiatives, coordinating all projects within the practice.
  • Coordinate and lead the compilation of practice reports and the practice development plan (PDP).
  • Support the team to reach QOF targets.
  • Adept a strategic approach to the management of all patient services matters.
  • Develop, implement, and embed an effective communication strategy (internal and external).
  • Ensure the practice maintains compliance with its NHS contractual obligations.
  • Actively encourage and promote the use of patient online services.
  • Publish communications for internal and external use, such as a practice newsletter on a quarterly basis.
  • Liaise at external meetings as required, such as the Monthly Practice Managers Forum.
  • Effectively manage/support the management of all complaints in line with current legislation and guidance.
  • Manage the practice premises, including health and safety aspects, such as risk assessments and mandatory training.
  • Manage the practice IT system, delegating staff to act as administrators.
  • Ensure compliance with IT security and IG.
  • Coordinate the practice diary, ensuring meetings are scheduled appropriately.
  • Deputize for the partners at internal and external meetings.
  • Act as the primary point of contact for NHS (E), CCG, community services, suppliers, and other external stakeholders.
Person Specification

We are looking for a candidate with the following experience and qualifications:

  • Experience of working in a management role in a healthcare setting.
  • Experience of managing multidisciplinary teams.
  • Experience of performance management, including appraisal writing, staff development, and disciplinary procedures.
  • Financial management experience.
  • Experience of successfully developing and implementing projects.
  • Strong IT knowledge and experience of troubleshooting.
  • Excellent communication skills (written, oral, and presenting).
  • Confident and assertive.
  • Excellent leadership skills.
  • Ability to develop, implement, and embed policy and procedure.
  • Ability to motivate teams, enhance morale, and maintain a positive working environment, including team building sessions.
  • Effective time management (planning and organizing).
  • Ability to exploit and negotiate opportunities to enhance service delivery.
  • Ability to work in a busy environment and to prioritize, delegate, and work to tight deadlines.
  • Adaptable and flexible to a rapidly changing environment, diplomatic, and calm in stressful situations.
  • Flexibility of working hours and able to respond to the needs of the business.
  • Experience of primary care systems, including EMIS web, Docman, Ardens, GPTeamnet, PCSE, and CQRS.

Desirable qualifications include a General Practice Management qualification and a Management qualification, such as AMSPAR or ILM Level 5 in Leadership.
