About the Role

We are seeking a highly skilled and experienced Senior Project Manager - Operations to join our team at Royall Appointments. As a key member of our operations team, you will be responsible for the planning and execution of complex events from conception to completion.

Key Responsibilities
  • Client Management:
    • Support the Account Lead in implementing client relationship strategies.
    • Develop and maintain relationships with key clients.
    • Support the Account Lead in preparing RFPs and proposals as required.
    • Attend client pitches and presentations as required.
    • Support the Account Lead at client meetings, calls, and reviews as required.
    • Lead project-specific client meetings and calls involving multiple agencies.
  • Project Management:
    • Lead and direct complex projects, ensuring high-quality standards are upheld throughout the project lifecycle.
    • Establish clear roles and responsibilities for project team members.
    • Set and communicate project timelines and priorities, preventing or managing associated risks.
    • Champion best practices and use of project management tools.
    • Lead regular project status meetings and ensure clear communication between client stakeholders and internal departments.
    • Build and maintain effective supplier relationships, negotiating beneficial rates and terms.
    • Maximize revenue opportunities on all projects.
    • Manage workstreams, timelines, and client expectations.
    • Conduct debriefs with internal teams and provide examples of improvements.
    • Manage post-event reporting requirements.
    • Lead and execute client-specific SLAs and process requirements.
  • Budget Reconciliation & Finance Management:
    • Manage complex budgets, including multiple workstreams and country billing.
    • Provide quotes for additional or out-of-scope items, ensuring associated management fees are added.
    • Ensure client savings documents and negotiation trackers are completed.
    • Keep track of financial changes, savings, and enhancements throughout the project.
    • Manage payment schedules with Project Finance to ensure invoicing dates and payment terms are met.
    • Cash flow management.
    • Ensure currency exchange is managed in line with financial updates.
    • Margin analysis to maximize gross and operating margin.
    • Ensure team members are aware of hours allocated in budget and are tracking against their Clockify hours.
    • Ensure prompt final budget reconciliation.
  • Line Management:
    • Provide leadership, motivation, direction, and support to line reports and junior team members.
    • Conduct weekly 1-1 meetings with line reports.
    • Responsible for line reports' personal development plans, providing measurable goals and objectives.
    • Manage and oversee the team's adherence to PROJECT LAB 360.
    • Work with the governance team to improve and update PROJECT LAB 360.
