POSITION OVERVIEW

We are in search of a seasoned Operations Manager to oversee, direct, and ensure the seamless functioning of our operations and supply chain. Harpar Grace International manages shipments worldwide and requires a proficient manager with meticulous attention to detail, strong analytical capabilities, and the ability to navigate a complex system with numerous components.

This position will be accountable for managing the operations team, overseeing the flow of products and inventory through our warehouse, handling grey market operations, supporting current and future IT frameworks, and ultimately contributing to the successful growth and fulfillment of our luxury aesthetic brand portfolio.

Our objectives include optimizing our processes for efficiency, fostering strong relationships with suppliers and distributors, and ensuring customer satisfaction. This role will also be crucial in collaborating with other departments such as manufacturing, customer service, finance, and IT. The position will play a vital role in ensuring the company's ongoing stability and profitability.

The ideal candidate will engage across the organization, working on multiple initiatives to realize a vision for our infrastructure and operational processes, ensuring we are well-equipped for sustainable long-term growth while managing risks effectively.

KEY RESPONSIBILITIES

  • Lead and manage the operations support team
  • Ensure compliance with Health & Safety regulations
  • Oversee supplier relations, purchase orders, and inventory management
  • Lead the Sales and Operations Planning (SnOP) forecasting process
  • Manage product delivery timelines
  • Advance product regulatory compliance in alignment with company objectives
  • Maintain precise and consistent records
  • Guarantee accuracy in orders and shipping documentation
  • Effectively manage and ship hazardous materials
  • Oversee company commercial and cargo insurance policies
  • Support the development of a global supply chain framework
  • Ensure adherence to export/import regulations for smooth goods movement
  • Monitor key departmental KPIs
  • Control and manage costs
  • Identify, justify, and implement cost improvement initiatives
  • Negotiate contracts, pricing, and terms with transportation providers
  • Define and implement Standard Operating Procedures (SOPs) across the organization
  • Ensure compliance with customer Service Level Agreements (SLAs)
  • Maintain data integrity within our systems
  • Oversee head office and warehouse operations, seeking continuous improvement
  • Report on sales, fulfillment, and inventory performance
  • Manage departmental budgets

EXPERIENCE & QUALIFICATIONS

  • A minimum of 3 years of solid experience in an operational and managerial capacity.
  • Background in the cosmeceutical, pharmaceuticals, aesthetics, healthcare, or beauty sectors.
  • Qualified to A Level standard or equivalent.
  • Advanced proficiency in Microsoft Office, particularly Excel.
  • Strong IT skills with experience in ERP, inventory management, and CRM systems.
  • Proven track record of meeting and exceeding challenging objectives.
  • Familiarity with operational systems and procedures necessary for success in this role.
  • Experience in delivering exceptional customer experiences and services.
  • High professional and presentation standards.
