Position Overview
We are looking for a dedicated Patient Services Coordinator to join our team on a fixed-term contract. This role is essential in providing comprehensive telephony and administrative support to our Clinical Physiology Department, which encompasses Cardiac, Respiratory, and Neurophysiology services.
Your primary responsibility will be to manage incoming calls and assist patients with their inquiries, ensuring a compassionate and professional approach, especially in sensitive situations. Accurate documentation and data entry of patient information into our systems are critical to maintaining the integrity of patient care.
Key Responsibilities
- Serve as the initial point of contact for all incoming communications to the Clinical Physiology Department, addressing patient queries or directing them to the appropriate personnel.
- Handle urgent calls with the necessary urgency and follow established protocols to ensure patient safety and satisfaction.
- Collaborate with the Clinical Physiology Administrator Supervisor to deliver seamless administrative support across various departments.
- Manage sensitive and emotional interactions with patients over the phone, providing reassurance and support as needed.
- Ensure all diagnostic tests are accurately recorded in the relevant systems, with referrals properly attached to patient files.
- Facilitate the transfer of patient information between hospitals, ensuring continuity of care.
- Maintain the pre-operative list for device investigations, coordinating with the MRI department regarding specific device requirements.
- Assist in scheduling appointments for Lung Function and Neurophysiology tests, sharing administrative duties within the team.
- Process paper referrals, ensuring they are entered into the system and linked to the appropriate patient records.
Qualifications
Essential
- NVQ or equivalent qualification at Level 2.
- GCSEs in Mathematics and English at Grade C or above.
Desirable
- A Level or higher educational qualifications.
- ECDL or equivalent IT skills certification.
Experience
Essential
- Significant experience in an administrative role.
Desirable
- Previous experience within a healthcare environment.
Knowledge and Skills
Essential
- Strong customer service abilities.
- Proficient computer skills.
- Familiarity with relevant systems such as PAS and CVIS.
