About the Role

We are seeking a highly skilled and experienced Customer Service Representative to join our team at Dennison Commercials Ltd. As a key member of our customer-facing team, you will be responsible for providing exceptional service to our customers, ensuring their needs are met and exceeded.

Key Responsibilities:

  • Be the first point of contact for customers, greeting them in a courteous and professional manner
  • Generate, amend, and update service schedules and send reminders to customers
  • Manage vehicle and customer databases, ensuring accurate and up-to-date information
  • Book appointments for PSV services and monitor progress
  • Issue workshop job cards and track the status of vehicles in the workshop
  • Process and close out workshop job cards, assisting with invoicing and ensuring customer satisfaction
  • Make outbound sales and customer care calls to build relationships and promote our services
  • Create maintenance contract quotes and sell maintenance contracts to customers
  • Liaise with the Workshop Foreman to ensure efficient job planning and profitability
  • Contact customers to inform them of additional work required and provide accurate quotations
  • Contact customers upon job completion, explaining the work done and arranging vehicle collection or delivery
  • Ensure customer satisfaction through delivery of the Volvo 'Customer Commitments' and follow-up to assess service level satisfaction
  • Handle customer complaints in a courteous and efficient manner
  • Perform general administration duties, such as running reports, scanning and filing paperwork, and record archiving

Requirements:

  • Relevant service reception experience or experience working within a franchised car/heavy vehicle dealership
  • Existing mechanical knowledge is advantageous but not essential
  • GCSE standard or equivalent, including Maths and English
  • Strong administration skills
  • Excellent organisational skills and ability to adapt to changing circumstances
  • Ability to communicate effectively at all levels, both verbally and written
  • Ability to structure workload in an efficient manner
  • Confidence with telephone communication and polite and professional telephone manner
  • Excellent level of computer proficiency
  • Ability to work effectively as part of a team and with minimal supervision
  • Full driving licence
