Job Description

We are seeking a highly organized and proactive Office Administrator to join our team at Receptional. As an Office Administrator, you will play a crucial role in maintaining the smooth operation of our office and supporting our People Department.

Key Responsibilities
  • Office Management
    • Undertake general office management tasks, including checking the post box and distributing mail daily, arranging office maintenance, and ordering new office equipment as needed.
    • Ensure the kitchen remains clean, tidy, and fully stocked with food, drinks, and snacks for our team members.
  • Administrative Support
    • Assist the People Department with general admin tasks, such as uploading documents to our HR system.
    • Set up meeting rooms and organize lunch/refreshments for client meetings as needed.
    • Assist with new starter administration, including laptop setup, uploading documents, creation of induction materials, and booking meetings.
    • Assist with leaver administration as needed.
  • Events Management
    • Arrange quarterly fun days in coordination with the People Department.
    • Assist the Culture Group with charity event requirements.
    • Arrange the Christmas Party and Summer BBQ annually.
    • Creation of posters and email reminders to promote culture and charity events internally.
    • Creation of the Monday morning and monthly meeting PowerPoint decks to keep team members informed of changes within the business and to celebrate individual and collective successes.
    • Sourcing rewards and prizes to celebrate Exceptional Receptionauts and Values of the Month winners.
  • Travel and Accommodation
    • Arrange travel (including flights) and hotels for staff as needed.
Requirements
  • GCSE Grades C and above (or equivalent) in Maths and English.
  • Previous experience in an administrative or office support role.
  • An understanding of health and safety regulations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong attention to detail.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Good communication and interpersonal skills.
