Position Overview
The individual in this role will oversee the management of administrative personnel and ensure the efficient operation of the directorate's administrative functions. Responsibilities include managing clerical and secretarial tasks, monitoring workloads to meet activity targets, and aligning patient management with established access policies. Additionally, the role involves steering various projects from their initial stages through to successful implementation.
As the primary contact within the department, the individual will be expected to demonstrate initiative, prioritize competing demands, and maintain effective communication with a diverse range of stakeholders both within the organization and externally. To uphold a high standard of quality, safety, and compassionate healthcare, all personnel are expected to serve as exemplary role models in their professional conduct.
Key Responsibilities
Oversee the daily operations of the directorate's administrative team, addressing any issues that may arise, including authorizing leave requests. Assess staff workloads and allocate tasks based on staffing levels, making adjustments during periods of absence or unexpected workload changes. Manage staff absenteeism in accordance with HR policies, conducting return-to-work interviews and necessary performance reviews. Lead the recruitment process for administrative staff, including crafting job descriptions, short-listing candidates, conducting interviews, and managing reference checks. Conduct performance evaluations for administrative staff, developing personal development plans that identify training needs and opportunities for professional growth. Ensure compliance with mandatory training requirements for both the individual and administrative staff, adhering to health and safety regulations. Guarantee that all consultants receive appropriate secretarial support and ensure necessary training is provided. Ensure that all clinical sessions are adequately staffed with clerical support and that appropriate training is delivered.About Our Organization
