Position Overview

The role operates on a term-time basis with an additional three weeks during school breaks. We are open to discussing flexible working arrangements upon request. The standard working hours are 37.5 hours per week, with specific start and end times to be agreed upon with the selected candidate. Please note that extended hours may be necessary during examination periods, and we welcome applications from individuals seeking part-time opportunities.

Essential Skills and Expertise

  • Thorough documentation of procedures and compliance controls.
  • Proficient in IT and Data Management Systems (e.g., SIMS Software), as well as Microsoft Office Suite.
  • Exceptional organizational, systematic, and analytical capabilities.
  • Outstanding verbal and written communication skills.
  • Strong numerical aptitude, with a keen eye for detail and precision.
  • Ability to foster and maintain effective working relationships across all levels while demonstrating adaptability.
  • Understanding of Child Protection policies and a commitment to safeguarding the welfare of young individuals.

Key Responsibilities

  • Strategically planning the examination calendar, prioritizing tasks, and ensuring compliance with awarding bodies' deadlines.
  • Submitting accurate returns to relevant awarding organizations.
  • Collaborating with faculty members, including Subject Leaders, to ensure adherence to examination regulations and protocols.
  • Maintaining up-to-date documentation for access arrangements in preparation for inspections.
  • Managing requests for special considerations and communicating with parents and candidates regarding necessary documentation.
  • Providing necessary briefings to candidates.
  • Resolving examination conflicts through effective communication with staff and parents.
  • Coordinating with the Finance and Resources Director regarding the recruitment and training of external invigilators.
  • Overseeing the daily operations of external examinations and managing the team of invigilators.
  • Addressing any misconduct or irregularities, reporting incidents to senior management, and preparing necessary documentation.
  • Interfacing with awarding body inspectors as required.
  • Being present to receive results from awarding bodies and preparing reports for analysis.
  • Conducting annual reviews and evaluations of the examination processes.
  • Staying informed about the latest examination procedures and regulations through professional associations.

Collaboration with Staff

  • Verifying unit codes with the relevant department.
  • Distributing and collecting necessary documentation for student entries for examination series.
  • Coordinating with Subject Leaders regarding coursework and mark submissions.
  • Engaging with the Modern Languages Department for oral examination arrangements.
  • Collaborating with the Special Educational Needs Coordinator (SENDCo) on access arrangements.

Candidate Communication

  • Ensuring candidates' personal details are accurate for certification purposes.
  • Clarifying the process for applications for special considerations.
  • Providing candidates with examination entry statements for verification.
  • Collecting Unique Candidate Identifier (UCI) numbers for new students and entering them into the system.
  • Issuing individual examination timetables to all candidates.

Examination Preparation

  • Creating comprehensive examination timetables.
  • Identifying and managing timetable clashes, ensuring students are informed of arrangements.
  • Preparing necessary documentation for overnight supervision and seeking approval from awarding bodies.
  • Administering special consideration processes for eligible candidates.
  • Verifying the receipt of examination papers and ensuring secure storage.
  • Maintaining accurate registers and preparing necessary documentation for candidates requiring additional time.
  • Ordering examination materials as needed.
  • Preparing candidate identification for examination settings.

Public Examination Management

  • Ensuring all examination materials are accounted for and properly documented.
  • Coordinating with delivery services for the collection of examination materials.
  • Maintaining adequate supplies of examination stationery throughout the examination period.
  • Ensuring timely submission of special consideration documentation to awarding bodies.

Results Management

  • Assisting with the processing of examination results.
  • Submitting requests for re-marks as necessary and ensuring appropriate fees are processed.
  • Generating performance reports for senior management and subject leaders.
  • Managing the distribution of certificates to students.

Reporting and Compliance

  • Preparing regular performance reports and maintaining data integrity.
  • Assisting senior management in reporting to external stakeholders and regulatory bodies.
  • Ensuring compliance with statutory reporting requirements.

Additional Responsibilities

  • Carrying out duties essential for the effective operation of the organization as directed by senior management.
