We are currently seeking a Returns Processing Administrator to join our team at the Milton Keynes Head Office. The primary goal of this department is to relieve Branch Managers from the time-consuming task of investigating invoice and credit discrepancies that do not align within our system.

Key Responsibilities:

  • To identify and manage unmatched credits.
  • To accept, forward, and reconcile credits as appropriate, or determine if no further action is necessary.
  • To align credit notes with return notes and ensure they are cleared from the system.
  • To engage with suppliers regarding handling charges, carriage fees, and rejections.
  • To address warranty claims with suppliers.
  • To analyze the reasons behind discrepancies and categorize them accordingly.
  • To implement solutions when no further investigation is warranted.
  • To escalate issues requiring Branch Manager authorization to the appropriate personnel.
  • To inform the Branch Manager of necessary stock adjustments.
  • To elevate ongoing or significant issues to the department manager.

This role description serves as a summary of the position and is not an exhaustive list of duties. The individual in this role is expected to undertake any tasks and responsibilities as deemed necessary by the business.

Desired Qualifications:

  • Familiarity with MAM and Autopart or similar systems.
  • Experience in Purchase Ledger is advantageous.
  • Understanding of Credits and Returns processes is preferred.
  • Knowledge of supplier returns is beneficial.
  • Excellent written and verbal communication skills, proficiency in Microsoft Office, and a keen attention to detail are essential.
