Key Responsibilities

The primary objective of this role is to:

  • Provide comprehensive support to the practice team while maintaining a positive and approachable demeanor for patients and visitors, whether in person or over the phone.
  • Assist and guide patients in accessing the appropriate services or healthcare professionals in a courteous and efficient manner.
  • Perform a range of administrative tasks to ensure the seamless operation of the practice, including potential secretarial and clerical support for clinical staff and other team members.
  • Facilitate effective communication among patients, primary healthcare team members, secondary care providers, and other relevant healthcare organizations.

Main Duties

Responsibilities may include, but are not limited to:

  • Opening and securing practice premises in accordance with established protocols.
  • Managing and overseeing the appointment scheduling system.
  • Handling personal and telephone inquiries for appointments, visits, and consultations, ensuring proper direction to the relevant healthcare professional.
  • Processing repeat prescriptions in line with practice guidelines.
  • Conducting data entry and management, ensuring accurate recording of information and updates in accordance with practice procedures.
  • Initiating and responding to communications from patients and other healthcare entities, verifying contact details as necessary.
  • Providing clerical support to practice staff, including document processing, filing, and photocopying.
  • Maintaining a thorough understanding of all practice procedures.
  • Scanning correspondence into patient records as appropriate.
  • Distributing completed prescriptions to patients while verifying their details.
  • Covering all reception duties as required, including during staff absences.
  • Completing any additional tasks assigned by management.
  • Registering new patients and managing their medical records.
