Thursby Surgery is a dynamic and innovative healthcare provider seeking two highly skilled Medical Receptionists to join our team. As a Medical Receptionist, you will play a vital role in ensuring the smooth operation of our practice, providing exceptional patient care, and contributing to the success of our team.

Key Responsibilities

  • Implement office procedures and work in accordance with written protocols to maintain a high level of patient satisfaction and practice efficiency.
  • Receive patients, consult with members of the practice team, and process appointment requests for appointments from patients by telephone and in person.
  • Utilize the EMIS Web Clinical System to process requests for appointments and visits, ensuring accurate and timely communication with patients and healthcare professionals.
  • Act as a care navigator, directing callers to the appropriate healthcare professional, and using your judgment, practice systems, and communication skills to ensure that patients who need urgent consultation are seen according to need.
  • Enter requests for home visits, ensuring to carefully record all relevant details and referring to the duty doctor where necessary.
  • Deal with general enquiries, explain procedures, and make new and follow-up appointments, providing a positive and friendly image to patients and other visitors.
  • Handle completed repeat prescriptions, checking names and addresses, and process patients' changes of address, computer data, and medical records.
  • Advise patients of relevant charges for private services, accept payment, and issue receipts, ensuring a working knowledge of the telephone system during and after hours.
  • Respond to all requests and queries from patients, team members, and associated healthcare agencies, and ensure building security, having a thorough knowledge of doors, windows, and alarms.
  • Input and extract patient information to and from the EMIS Web Clinical System as required, taking messages and passing on information in a timely and appropriate manner.
  • Action requests for repeat prescriptions, ensuring that they are ready for collection by the patient within 48 hours, and scan and photocopy as required.
  • Process and distribute incoming and outgoing mail, file and retrieve paperwork, update as necessary, and clear and re-stock consulting rooms as required.
  • Keep the reception area, notice-boards, and leaflet dispensers updated, tidy, and free from obstructions and clutter, informing the line manager of low stock levels of stationery or other supplies.
  • Be able to cover all reception positions as necessary to meet the needs of the practice, and complete administrative tasks as requested, including requirements of Clinical Coding, management of medication documentation and processing, secretarial duties, and support of private work functions.

Person Specification

  • Good standard of general education, including GCSE Mathematics and English (Grade C and above).
  • Practical experience of working with others and the general public or patients in a customer care role.
  • Desirable: Experience of work in a healthcare setting, knowledge of medical terminology, and awareness/experience of the EMIS Web clinical system.
