This is a full-time, permanent position. The Academic Program Coordinator is responsible for the effective administration of the academic offerings at NYU London and collaborates closely with faculty and staff to facilitate academic class preparation and management. The Coordinator serves as the primary contact for academic-related student inquiries and oversees communication between students, the Academic Affairs team, and faculty.

Key Responsibilities

Administrative Support for Academic Affairs: 50%

  • Managing general inquiries and administrative functions to ensure the smooth operation of the Academic Affairs Department.
  • Coordinating the oversight of student attendance records in compliance with institutional and regulatory requirements.
  • Assisting with student immigration processes, including the issuance of necessary documentation and conducting required checks.
  • Supporting the administration of course registration and grading each semester.
  • Facilitating data entry related to courses, grading, and student schedules in institutional databases and reporting systems.
  • Ensuring the proper maintenance of academic records in accordance with data protection regulations.
  • Assisting with the management of records pertaining to grades, attendance, and course offerings.
  • Coordinating room allocations and bookings, maintaining familiarity with the room booking system, and supporting hybrid classroom instruction.
  • Organizing on-site events and meetings as necessary.
  • Supporting academic visits for faculty and staff from various campuses.
  • Contributing to the strategic enhancement of the program, particularly regarding sustainability and inclusivity.
  • Performing additional tasks as assigned by the line manager or as required by the Director.

Student and Faculty Support: 50%

  • Serving as the initial point of contact for academic-related inquiries from faculty and students, providing guidance on academic policies and procedures.
  • Coordinating logistics for co-curricular trips and related administration.
  • Facilitating communication of essential information to faculty, including schedules and grading documentation.
  • Supporting partnerships with external educational providers.
  • Assisting faculty in scheduling make-up classes.
  • Facilitating the onboarding process for new faculty members.
  • Providing ongoing support to faculty in utilizing the virtual learning environment and other educational tools.
  • Assisting with the administration of academic accommodations for students, including exam arrangements.

Qualifications

Required Education

  • A degree or equivalent qualification/experience.

Required Skills and Abilities

  • Exceptional organizational skills and attention to detail.
  • Strong administrative capabilities with the ability to manage multiple tasks effectively.
  • Ability to work independently with minimal supervision.
  • Excellent interpersonal and communication skills, comfortable engaging with both students and faculty.
  • Understanding of the needs of international students and cross-cultural sensitivity.
  • Enthusiastic, proactive, and committed to teamwork.
  • Proficient in written and verbal communication.
  • Competent in using Microsoft Office and ideally Google Suite.
  • Willingness to occasionally work outside standard hours.

Preferred Experience and Skills

  • Experience in an educational organization, particularly in higher education.
  • Familiarity with US Study Abroad or US Higher Education systems.
  • A demonstrated commitment to fostering a diverse and inclusive environment.
  • Knowledge of relevant immigration policies and procedures.
  • Experience in a busy, customer-facing office environment.
