Position Overview

The role involves providing comprehensive support to the Medical Secretarial Service, which includes tasks such as document management, audio transcription, and correspondence preparation. The successful candidate will ensure efficient operations within the department, producing essential clinic documentation and offering assistance to the Reception Team during periods of absence.

Key Responsibilities

  1. Support the Medical Secretarial Service through various administrative tasks including document scanning, filing, audio transcription, photocopying, proofreading, and letter composition.
  2. Deliver prompt and precise audio typing services to the department, generating clinic letters and other necessary documents.
  3. Provide temporary coverage for the Reception Team as required, addressing staff shortages due to illness, holidays, or breaks.
  4. Collaborate with Nurses, Doctors, and other members of the Multi-Disciplinary Team to ensure high-quality service delivery to patients.
  5. Accurately input referrals and documents into the Patient Administration System.
  6. Contribute to a cohesive team environment, sharing responsibilities for the efficient operation of the office.
  7. Occasionally handle telephone inquiries, relaying messages courteously and using discretion to prioritize issues appropriately.
  8. Establish and maintain both computerized and manual filing systems, performing additional filing tasks as necessary.
  9. Utilize information technology effectively and adapt to new technological advancements as they arise.
  10. Maintain an organized system for tracking health records.
  11. Provide clerical support across the Division as directed.
  12. Exhibit flexibility to meet the evolving needs of the Division and Trust.
  13. Ensure a tidy and organized office environment.
