We are seeking a highly organized and communicative Medical Receptionist to join our team at Shay Lane Medical Centre. As a key member of our front desk team, you will be responsible for providing exceptional patient care and administrative support to our clinical staff.

Key Responsibilities
  • Maintain and monitor the practice appointment system, ensuring seamless scheduling and rescheduling of clinics.
  • Process personal, telephone, and e-requests for appointments, providing clear and concise information to patients.
  • Answer incoming phone calls, transferring calls or dealing with caller requests appropriately, and signpost patients to the correct service.
  • Initiate contact with and respond to requests from patients, team members, and external agencies, demonstrating excellent communication skills.
  • Code clinical data in EMIS Web and Docman 10, ensuring accurate and up-to-date patient records.
  • Photocopy documentation as required, maintaining a clean and tidy working area at all times.
  • Data entry of new and temporary registrations and relevant patient information, ensuring accuracy and attention to detail.
  • Input data into patient healthcare records as necessary, maintaining confidentiality and adhering to data protection policies.
  • Direct requests for information, such as SARs, insurance/solicitors letters, and DVLA forms, to the administration team.
  • Manage all queries as necessary in an efficient manner, providing solutions and escalating issues as required.
  • Monitor and action the reception and prescription email inboxes, responding to patient inquiries and requests.
  • Process incoming repeat prescription requests and abide by the practice's repeat prescription policy.
  • Liaise with the practice pharmacist and doctors with prescription queries, ensuring accurate and timely responses.
  • Carry out clinical system searches as requested, maintaining a high level of accuracy and attention to detail.
  • Carry out phlebotomy and chronic disease annual review patient recalls, ensuring timely and accurate completion of tasks.
  • Be named administrative lead for at least one chronic disease register, responsible for recalling and booking patient testing and annual reviews.
  • Monitor submitted urine samples and follow the practice's urine sample protocol, maintaining a high level of accuracy and attention to detail.
  • Maintain a clean, tidy, effective working area at all times, ensuring a positive and welcoming environment for patients and staff.
  • Monitor and maintain the reception area and noticeboards, ensuring accurate and up-to-date information is displayed.
  • Support all clinical staff with general tasks as requested, demonstrating a willingness to assist and contribute to the team's success.
  • Monitor and maintain stationary stocks, reporting to the practice manager to order supplies as necessary.
  • Partake in audit as directed by the practice manager, ensuring accurate and timely completion of tasks.
  • Support administration staff, providing cover during staff absences, and ensuring seamless continuity of services.
  • Scanning of patient-related documentation and attaching scanned documents to patients' healthcare records, maintaining a high level of accuracy and attention to detail.
  • Complete opening and closing procedures in accordance with the duty rota, ensuring a smooth and efficient handover of tasks.
  • Provide administrative support to seasonal vaccination clinics, demonstrating flexibility and adaptability in a fast-paced environment.
