As a member of Ecotricity's People & Places Department, the Facilities Coordinator plays a crucial role in ensuring exceptional service and support for both internal and external stakeholders across various locations. This includes our corporate offices, production facilities, and affiliated venues.

Working collaboratively within a dynamic and supportive team, the Facilities Coordinator will engage in a diverse range of tasks aimed at enhancing service delivery in key areas such as property management, health and safety compliance, and general assistance to the Places Manager. This role involves overseeing third-party contractors and service providers while embodying the company’s core values in all activities.

Department Overview

The Places Management team serves as a vital resource for all staff and management, coordinating with external vendors and contractors to maintain a safe and efficient working environment. The team is characterized by a friendly yet professional approach, emphasizing safety and operational effectiveness.

Key Responsibilities

Facilities Management

  • Acting as the primary contact for the Places Management team, addressing inquiries from internal and external clients, including the in-house cleaning staff.
  • Collaborating with the Places Manager and Service Team Lead on various projects, including tracking quotes and contractor timelines, as well as organizing company events.
  • Proactively identifying maintenance needs through regular site inspections, reporting health and safety concerns to the Places Manager.
  • Maintaining open communication with contractors and suppliers, providing updates on project statuses to all relevant stakeholders.
  • Coordinating with external service providers to ensure timely delivery of maintenance and support services.
  • Overseeing the Weekly Maintenance Schedule for contracted services.
  • Managing and resolving facility-related queries through the service desk.
  • Effectively managing assets and equipment to ensure timely maintenance and repairs, maximizing operational efficiency.
  • Assisting with colleague relocations and workspace redesigns as necessary.
  • Identifying opportunities for process improvements within the Facilities function.
  • Maintaining accurate records of maintenance activities across all sites.
  • Ensuring compliance with relevant regulations and standards.
  • Providing excellent service for internal customers regarding office and meeting space arrangements.
  • Supporting the Places Manager with project management tasks and contractor oversight.
  • Participating in out-of-hours support as required.

Health & Safety Responsibilities

  • Committing to relevant health and safety training and certifications.
  • Conducting risk assessments and safety monitoring as required.
  • Assisting with the distribution of health and safety equipment.
  • Conducting regular safety inspections and reporting potential hazards.
  • Supporting fire safety drills and compliance checks.

Administrative Duties

  • Ensuring all documentation related to the Facilities team is current and compliant.
  • Assisting in the development of policies and procedures.
  • Managing purchase orders and maintaining effective filing systems.
  • Providing administrative support to facilitate efficient operations.

Miscellaneous Tasks

  • Performing additional duties as assigned by management.
  • Identifying areas for operational improvement.
