POSITION OVERVIEW

The Production Coordinator plays a vital role in overseeing and orchestrating the creation of essential promotional materials for the EMEA Creative team. This individual will be tasked with managing one or multiple feeds, ensuring the seamless production of new promotions, campaigns, re-edits, digital assets, and branding components.

KEY RESPONSIBILITIES

  • Participate in monthly production meetings, ensuring effective communication and management throughout the post-production phase.

  • Create and maintain necessary documentation for the production workflow (e.g., Live Status Document).

  • Facilitate weekly core production discussions.

  • Acquire suitable resources for promotional activities.

  • Manage the information flow regarding new commissions versus revisions.

  • Develop timelines and oversee all post-production sessions for new promotions, revisions, and navigation elements, ensuring all pertinent content is ordered and processed, including managing localization efforts.

  • Ensure that post-production teams and external partners receive all necessary materials and that any scheduling changes are communicated promptly.

  • Guarantee the timely production of commissioned monthly promotions and adapt schedules as needed.

  • Ensure all outputs meet technical and content compliance standards, collaborating closely with the compliance team.

  • Build and maintain effective working relationships with a diverse range of internal and external stakeholders to keep all key departments informed of production activities.

  • Update monthly financial reports with accurate expenditure data and create production budgets for complex projects.

  • Develop and uphold office and administrative systems, ensuring proper organization of shared resources and that all creative personnel correctly label their projects and save scripts appropriately.

  • Manage timely delivery to Playout, raising any concerns regarding late submissions to the relevant parties.

REQUIRED QUALIFICATIONS

  • Proven experience as a Team Assistant, Production Assistant, or Production Coordinator within a creative environment.

  • Experience in booking audio and editing facilities, as well as talent and filming crews.

  • Familiarity with broadcast-standard equipment and post-production workflows.

  • Ability to efficiently prioritize a conflicting workload while maintaining accuracy and attention to detail under tight deadlines.

  • Experience in maintaining office systems and adhering to administrative protocols, along with the ability to develop new systems as necessary.

PREFERRED SKILLS

  • Capability to assess risks effectively.

  • Experience in managing and updating budgets.

  • Proficiency in various software applications, including Word, Excel, and Outlook, with a willingness to learn new software as needed.

  • Ability to handle confidential information with discretion and sensitivity.

  • Strong interpersonal and communication skills to foster effective working relationships with a wide range of contacts.

  • Capacity to work independently and collaboratively within a team.

  • Resilience and stamina to maintain performance under pressure from high workloads and competing priorities.
