Key Responsibilities:
  • Attend and contribute to daily morning meetings to ensure seamless communication and coordination with the team.

  • Meet and greet visitors in a polite, friendly, and professional manner, setting the tone for exceptional customer service.
  • Register applicants on Jupix & Lifesycle databases, ensuring complete and accurate input of data to facilitate efficient sales processes.
  • Communicate with applicants to seek out opportunities for Valuation and Financial Services appointments, maximizing sales potential.
  • Take ownership of applicant registers, particularly HOT applicants, and review to ensure databases are always current and up-to-date.
  • Carry out property matches on all newly registered applicants, sending property details via email, text, or post as necessary.
  • Set review dates to communicate with applicants within 48 hours to obtain viewings, ensuring timely and effective sales progression.
  • Ensure all new instructions are matched to applicants and sent out via email, text, or post, maintaining open communication channels.
  • Arrange viewings with vendors or provide accompanied viewing services when necessary, providing exceptional customer experiences.
  • Communicate viewing feedback to vendors within 48 hours of viewing, ensuring transparency and customer satisfaction.
  • Check-in keys for properties where accompanied viewings are to be carried out, ensuring smooth sales processes.
  • Book Valuation appointments via Lifesycle, obtaining detailed information to assist valuers and promote other services prior to valuation appointments.
  • Advise the Admin team of necessary updates to property details on Jupix, ensuring accurate and up-to-date information.
  • Negotiate offers between applicants and vendors, taking advice from Sales Managers or Senior Negotiators to ensure optimal sales outcomes.
  • Keep accurate notes on Jupix of all discussions with parties throughout the sale negotiation process, maintaining a clear audit trail.
  • Qualify all sales with Sales Managers or Senior Negotiators before instructing sales and making 'Under Offer,' ensuring sales excellence.
  • Ensure all information about the sale transaction is complete before transferring details to the sales admin team to issue a memorandum of sale.
  • Attend relevant training sessions to develop knowledge of government legislation regarding estate agency, ensuring compliance and best practices.
  • Ensure all compliance procedures regarding AML, GDPR, Estate Agents Act 1979, and Consumer Protection from Unfair Trading Regulations 2008 are followed and recorded properly.
Requirements:
  • Previous Experience: Proven experience in property sales or a related field, with a strong understanding of residential property laws, regulations, and best practices.
  • Knowledge: Excellent verbal and written communication skills to interact professionally with clients and team members.
  • Organisational Skills: Strong ability to prioritise tasks, manage time effectively, and handle multiple responsibilities simultaneously.
  • Problem-Solving: Resourceful in resolving issues and conflicts that may arise during property sales, with a focus on customer satisfaction and sales excellence.
  • Technology: Proficiency in using property software and standard office applications, with a willingness to learn and adapt to new technologies.
