Job Title: HR Officer/Advisor

Job Summary:

We are seeking a highly organized and detail-oriented HR Officer/Advisor to join our team at Office Angels. As an HR Officer/Advisor, you will be responsible for providing administrative support to the HR team, including preparing new joiner paperwork, continuous improvement of HR Admin processes, and drafting reference letters.

Key Responsibilities:

  • Prepare new joiner paperwork, including offer letters, contracts, and acceptance/rejection emails, in a timely and accurate manner.
  • Continuous improvement of all HR Admin processes to ensure efficiency and effectiveness.
  • Approving employee personal detail changes through the HR system.
  • Drafting reference letters, including post-employment references, visa references, and mortgage/rent references.
  • Supporting HR Advisors and HR Managers with drafting any paperwork required for employee lifecycle changes, such as changes to terms and conditions, maternity/parental leave, etc.
  • Responding to employee queries and sending new joiners welcome emails.
  • Scheduling probation reviews for relevant joiners and coordinating work experience students and interns.
  • Updating other departments of new starters and leavers, coordinating desks, and issuing alarm/entry keys.
  • Requesting and chasing references for new joiners and providing admin support in application and coordination of airside passes, relevant training, etc.
  • Producing reports and data analysis for the HR Director and printing, scanning, and filing as required.
  • Coordinating pre-employment and right to work checks for new joiners and setting up user accounts on HR and internal systems.
  • Coordination and distribution of the weekly new joiners and leavers email and supporting the coordination and delivering company inductions.
  • Maintaining e-files for employee paperwork, ensuring files are set up in line with start dates, and leaver administration, including drafting leaver letters and completing termination forms.
  • Archiving leaver e-files and hard copy files and providing admin support in annual HR processes, such as appraisals, promotions, and salary review, and other project work, etc.
  • Administrative support on any audits that the HR Team are required to participate in and managing front of house and telephones twice a week.

Requirements:

  • Graduate with HR assistance experience essential, ideally CIPD full or part qualified.
  • Good communication skills, both verbally and in writing.
  • Maintains a positive attitude towards routine tasks.
  • Strong organisational skills with the ability to prioritise effectively, ensuring all deadlines are met.
  • Pro-active approach.
  • Friendly Customer Focus and strong interpersonal skills.
  • Understands and appreciates the importance of using discretion.
  • Excellent and proven Excel skills.
  • Flexible and collaborative, an ability to thrive in a fast-paced environment.
