The London HR Generalist team is composed of the Head of HR, HR Manager, and HR Assistant, who collectively offer guidance and support to a diverse group of 300 staff and Partners in the London office. Our team also collaborates closely with HR colleagues in our New York headquarters. Within the broader London HR Group, we include roles such as Learning & Development Manager, Learning & Development Advisor, Senior Recruitment Manager, Diversity, Equity & Inclusion Manager, Graduate Recruitment & Diversity Advisor, and three Talent Development Managers. This position is essential in providing daily administrative support to the London HR Team and often serves as the initial point of contact for various administrative HR inquiries.

Key Responsibilities:

Proactively assist the HR team with administrative tasks, including but not limited to:

  • Generalist HR Functions: Maintain precise data within the HRIS (Workday), such as joiners, leavers, office transfers, alterations to working patterns, employee personal information, and absences, while also testing new functionalities.
  • HR Correspondence: Prepare HR-related communications, utilizing DocuSign when necessary, including probation completion letters, reference requests, changes to working patterns, and salary review notifications.
  • Payroll Coordination: Collaborate with the Payroll team to communicate any administrative changes regarding payroll and benefits on a monthly basis.
  • Immigration Support: Assist with visa applications for new hires and renewals, as directed by our Immigration Advisor.
  • Leaver Process Management: Oversee the leaver process, including confirming remaining holiday and distributing leaver documentation.
  • Intranet Maintenance: Ensure the HR pages on the intranet are up-to-date and informative.
  • Appraisal Assistance: Provide support during appraisal processes, managing related documentation.
  • Annual Review Support: Aid in the annual salary and bonus review processes by preparing standard documents and updating the HR system.
  • Holiday Management: Act as the contact point for holiday inquiries, managing year-end holiday processes and reconciling holiday records.
  • Sickness Absence Monitoring: Track and log sickness absences, ensuring necessary documentation is completed and potential issues are flagged.
  • File Management: Maintain electronic files, including the creation of new staff files.
  • Gift Coordination: Order staff gifts and other tokens of appreciation.
  • Workday Expertise Development: Collaborate with colleagues in New York to enhance our understanding of Workday, identifying new processes for migration and ensuring optimal functionality.
  • Ad Hoc Reporting: Generate reports from the HRIS as needed.
  • Invoice Management: Oversee invoice payments for the HR team.
  • Project Support: Engage in ad hoc project work, including benchmarking and research initiatives.
  • HR Apprentice Development: Support the growth and development of the HR Apprentice.

Lateral Recruitment & Onboarding:

  • Coordinate with recruitment agents and schedule interviews.
  • Manage technical assessments and maintain results spreadsheets.
  • Keep track of new joiner information.
  • Onboarding Process Management: Take charge of the onboarding process, which includes:
    • Adding new joiners to Workday.
    • Completing pre-employment background checks and managing documentation.
    • Setting up and monitoring pre-joining medical checks.
    • Conducting conflicts checks in collaboration with New York.
    • Updating organizational charts.
    • Arranging inductions and coordinating induction schedules, including assigning buddies and supervising partners.
    • Collaborating with IT and Facilities to ensure new joiner IT equipment is dispatched appropriately.
  • Support the International Student Interview Program and US Law Fair annually, along with other recruitment initiatives.

Required Skills & Experience:

  • A minimum of 18 months of relevant experience, preferably within the legal or professional services sector.
  • Strong interpersonal and communication skills, both written and verbal, with a keen ability to listen.
  • Exceptional attention to detail.
  • Proven ability to meet deadlines, prioritize tasks, and demonstrate excellent organizational skills.
  • Good analytical and numerical capabilities.
  • Proficient IT skills, particularly in Word and Excel, with experience in managing HR-related databases.
  • A proactive approach to innovation, identifying opportunities for improvement and efficiency in work practices.
